Job summary

Event Management Direct (EMD) in the Yorkshire region is seeking an Office Administrator to support the membership team and other departments with essential admin tasks. You will be organised, have a passion for administration, and be able to hit the ground running.

The role is part-time (25 hours per week) and based at our Sheffield area office. We are looking for someone who can work around school hours, manage data and records, and help keep client communications professional and efficient.

Qualifications

  • Experience in minute taking and handling confidential information.
  • Excellent IT skills and familiarity with Microsoft software.
  • Strong communication skills with a professional telephone manner.
  • Ability to absorb information quickly and maintain accurate records.
  • A proactive, can-do approach and ability to work with diverse teams.

Responsibilities

  • Provide general administrative support including data entry, document preparation, membership support, event administration and minute taking at meetings both in person and virtually.
  • Attend some in person events, and take minutes.
  • Manage the inbox of one of our clients.
  • Answer the telephone, respond to emails and in-person enquiries professionally and escalate where appropriate.
  • Maintain accurate records, databases and spreadsheets, ensuring information is up to date and handled confidentially.
  • Arrange meetings and appointments, including booking rooms, preparing agendas and taking minutes.
  • Support colleagues with routine administrative tasks.
  • Follow relevant policies and procedures, including health and safety, data protection and safeguarding where applicable.

JOB TITLE:

Office Administrator

OVERVIEW:

The Office Administrator will support each department with their administrative needs, particularly the membership team.

WHO WOULD SUIT THIS ROLE?

We are looking for someone who is organised, has a passion for administration and is keen to hit the ground running. Given the hours, perhaps someone looking to work around the school day.

HOURS OF WORK:

Part-time role, 25 hours a week

PLACE OF WORK:

Event Management Direct, Unit 9, Hydra Business Park, Nether Lane, Ecclesfield, Sheffield S35 9ZX

JOB PURPOSE

Excellent organisational skills are essential for this role as you will be supporting the team. You need to have the ability to work unsupervised and to use your own initiative.

You will need to be able to develop excellent working relationships with colleagues and clients at all levels, and be confident in your ability to be proactive.

Most importantly you will be confident, positive, and deeply committed to providing high quality administration and secretarial services to the business.

SKILLS & KNOWLEDGE
ESSENTIAL
  • Experienced in minute taking
  • The ability to absorb information quickly
  • Excellent communication skills with the confidence to share information
  • Excellent IT skills and computer literacy and familiarity with the Microsoft software
  • Excellent customer service skills, and a professional telephone manner
  • Ability to deal sensitively and discretely with confidential information
  • Ability to maintain effective relationships with a wide variety of people
  • Attention to detail and experience of managing a database or CRM system
  • A ‘can do’ attitude
DESIRABLE
  • Experience of working with medical professionals
  • A basic knowledge of AI and its benefits
  • Driving licence is preferred but not essential
