Job summary

Dorset All Age Eating Disorders Service seeks an experienced Team Secretary to join a busy, multi-disciplinary team in Dorchester. The role requires strong NHS secretarial know-how, high organisation, and proficient Microsoft Office skills, with RiO knowledge preferred.

DBS check will be provided by the Trust. The post involves handling referrals, scheduling appointments, typing letters, minutes, reception duties, and directing calls.

  • Provide information to patients, staff, carers, GPs, and health teams regarding appointments and care pathways.
  • Develop and update office procedures and databases; manage referrals processing.

Job description

The Dorset All Age Eating Disorders Service are looking for a highly motivated and experienced Team Secretary who preferably has a comprehensive knowledge of NHS secretarial and administrative procedures. This is a busy position and requires the post holder to be highly organised in co-ordinating their workload to efficiently meet the needs of the service. In this role you will receive peer support and supervision sessions.

You will be joining a friendly, dynamic, professional multi-disciplinary team in a high paced environment where a flexible and adaptable approach with excellent multi-tasking abilities as well as a good understanding of Microsoft Office and a minimum of RSA/OCR II Typing / word processing qualification or equivalent is required. A working knowledge of RiO would be preferable.

The role will be based at Trinity Street in Dorchester.

Employment in this post requires an Enhanced Disclosure and Barring Service (DBS) check, which the Trust will cover the cost of.

You will support all Eating Disorder clinical staff by undertaking administrative and clerical duties including registering referrals, scheduling of appointments, typing all therapists’ letters, team meeting minutes, professionals meeting minutes, as well as reception duties and answering and appropriately directing all calls into the service.

You will provide information to patients, staff, carers, relatives, GPs, Community Health Teams, relating to appointments, patient care, service pathways and meetings, verbally by telephone, face to face or written in a tactful and courteous manner often requiring

non-clinical advice involving careful analysis of delicate situations regarding patient care, requiring knowledge of patient confidentiality.

You will organise and prioritise own routine and non-routine daily workload. To have input into developing, organising and implementing new office procedures and systems e.g. developing/updating databases, procedures for processing referrals and general day-to-day business.
