Job summary

Royal United Hospitals Bath NHS Foundation Trust is seeking an organized Medical Secretary to support the Paediatric team. You will provide comprehensive administrative service to the MDT, handle enquiries, manage appointments, and maintain patient records, enabling smooth pathways of care.

Working in a busy NHS environment, you will liaise with clinicians, clerical colleagues, and external partners, ensuring information governance, accurate data entry, and timely communications.

Qualifications

  • Post-GCSE qualification e.g. A level, Advanced apprenticeship, NVQ 3 or equivalent experience
  • Typing qualification or experience
  • Demonstrable experience and knowledge of office and administrative processes
  • Experience within the NHS or similar health care setting
  • Computer literate in Microsoft Office applications e.g. Word, PowerPoint and Outlook and other software: Adobe, Internet Explorer, Google Chrome

Responsibilities

  • To provide a comprehensive administrative service and support the operational activity across Paediatrics.
  • To provide a first point of contact, including answering all telephone enquiries from internal and external callers, taking and relaying messages in a polite and helpful manner, and using own judgement to establish the priority of issues and taking action as appropriate.
  • To assist in the treatment for patients, for example updating relevant databases and computer systems as needed and to ensure referrals to other healthcare professionals or external organisations are actioned promptly.
  • To arrange and (where necessary) cancel/reschedule appointments, book follow-up appointments and manage the waiting list appropriately.
  • To scan and upload clinical information as directed to ensure patients’ electronic medical records are kept as up to date as possible. To retrieve results from in-house systems as required by the clinicians.
  • Provide cross cover within the administrative team as required.

We are looking for an organised and proactive Medical Secretary to join our Paediatric service, working primarily with the Paediatric team. This is a rewarding and varied role that sits at the heart of patient care, offering the opportunity to work closely with a dedicated multidisciplinary clinical team and fellow secretarial colleagues.

In this pivotal position, you will deliver a comprehensive and professional administrative service to the multidisciplinary team (MDT), helping to ensure smooth, efficient and patient-focused pathways of care. You will act as a key point of contact, working collaboratively with clerical teams to coordinate communication between patients, clinicians and external organisations.

Main duties of the job
