Job summary

Gleeson Land is seeking an organised Administrator to support our Land, Planning and Technical teams. You will work closely with the Office Administrator to ensure smooth day-to-day operations, handling invoices, appointments, records and correspondence while maintaining a flexible approach to a variety of tasks.

Key duties include diary coordination, meeting logistics, and providing proactive administrative support to a Regional Director.

Qualifications

  • Organised and detail-oriented capability with strong communication skills.
  • Proficient in MS Office and able to handle phone and email enquiries.
  • Ability to prioritise workload with a flexible, team-oriented approach.

Responsibilities

  • Process invoices and resolve related queries.
  • Manage bank app payments and raise/monitor purchase orders.
  • Set up new consultant appointments and respond to queries.
  • Maintain consultant indemnity certificates and records.
  • Handle daily post and distribution.
  • Provide telephone support and greet visitors.
  • Support upkeep of office equipment and toner.
  • Archive invoices, appointments and warranties.
  • Provide admin support to the Regional Director, including diary management and travel.
  • Coordinate internal and external meetings (agendas, venue, rooms).
  • Provide holiday cover for the Office Administrator.
  • Support colleagues with ad hoc tasks and projects.

Administrator - Gleeson Land

Job Introduction

Are you an organised and proactive Administrator looking for a varied role where no two days are the same? We're seeking an experienced Administrator to join our Gleeson Land team. This is an excellent opportunity for someone with strong organisational, communication and time-management skills, alongside a keen eye for detail and a positive, can-do attitude. Working closely with our Office Administrator, you'll provide essential support across our Land, Planning and Technical teams, helping to ensure the smooth running of day-to-day operations. Whilst the responsibilities outlined below represent the core focus of the role, we're looking for someone who enjoys variety and is happy to take a flexible approach. As part of a collaborative team, you'll also have the opportunity to support wider business activities and assist with ad hoc tasks and projects as required, making this an ideal role for someone who thrives in a dynamic environment.

Main Responsibilities

As a valued member of the Gleeson Land team, you'll support a wide range of administrative activities across the business. Key responsibilities include:

  • Processing invoices and resolving related queries.
  • Managing bank app payments/ Raising and monitoring purchase orders.
  • Setting up new consultant appointments and responding to associated queries.
  • Maintaining consultant professional indemnity certificates and records.
  • Handling daily incoming and outgoing post, ensuring appropriate distribution.
  • Providing telephone support and welcoming visitors when required.
  • Supporting the upkeep of office equipment, including photocopier maintenance and toner management.
  • Managing archiving processes for invoices, appointments and warranties.
  • Provide proactive administrative and executive support to the Regional Director (where necessary), including diary management, meeting coordination, travel arrangements, expenses and general correspondence.
  • Coordinate internal and external meetings, including agendas, venue and room bookings.
  • Providing holiday cover for the Office Administrator.
  • Supporting colleagues across the business with a variety of ad hoc administrative tasks and projects as needed.

This role offers plenty of scope to get involved in different aspects of the business, making flexibility and a willingness to support the wider team key to success.

About You
  • Highly organised with excellent attention to detail.
  • Responsive, approachable and professional in their communication.
  • Competent in Microsoft Office applications, including Word, Excel and Outlook.
  • Confident handling telephone and email enquiries.
  • Able to prioritise workloads effectively and work independently when required.
  • Experienced in using Coins software (desirable but not essential).
  • In possession of a full clean driving licence (desirable).
  • Above all, you'll be someone who enjoys being part of a team, takes pride in delivering high-quality administrative support and is willing to adapt to changing business needs.
