Job description

General Description of the Role:

Based in the Business Hub team, the Administrative Officer is responsible for general administration that is required for the delivery of DRM EE outputs as well as the smooth running of the Head Office. The AO is required to directly support DRM’s Director and Chief Of Staff by coordinating across disciplines to process Armed Forces Covenant applications in addition to carrying out administrative work for HR, Finance, IT, Salesforce database and office-related tasks.

5. Principal Areas of Accountability, Tasks and Duties

a. Processing Armed Forces Covenant applications

i. Process all new Armed Forces Covenant (AFC) applications for all of DRM.

ii. Monitor mailboxes and triage, answering queries and sending AFC confirmations.

iii. Liaise with DRM Research Officer for AFC due diligence checks.

iv. Assist in maintaining gov.uk including publishing new pledges.

v. Help maintain and clean AFC data on DRM’s CRM tool, including entering covenant pledges.

vi. Help to implement changes to AFC applications and confirmations.

vii. Update stakeholders on new signings and the use of dashboards and reports.

b. Support the running of Business Hub

i. Assist with HR processes and any other administrative tasks that are required throughout the employee lifecycle.

ii. Organise mandatory annual training for staff, including First Aid and Fire Marshal Training.

iii. Manage the DRM reception function, including telephone/email enquiries, incoming/outgoing mail and control of security access.

iv. Provide secretariat support to meetings, including taking minutes and action logs.

v. Provide administrative support to Director DRM.

vi. As a Regional Systems Administrator (RSA) for DRM, assist in the provision and support of IT equipment, queries and problem solving.

vii. To learn how to operate all office machinery.

viii. Book transport, accommodation and associated logistics for DRM staff as required.

ix. Assist with the organisation and supporting the running of DRM events as required.

x. Other duties as deemed appropriate in support of DRM outputs.

Success Profile

8. Skills and Qualifications.

a. Be computer literate on appointment and within three months have an understanding of DRM systems (training will be provided):

i. HR system (Cascade).

ii. CRM tool (Salesforce).

b. Be highly competent, on appointment, in the use of Microsoft applications including Excel, Word, Outlook and PowerPoint.

9. Experience.

a. Essential.

i. Strong administrative background with a desire to learn more about Employer Engagement as well as be competent in HR and financial administration

b. Desirable.

i. An understanding of the Armed Forces, particularly knowledge of Reserves and Cadets.

10. Behaviours (Success Profiles - Civil Service Behaviours).

a. Have the necessary communication and interpersonal skills required to interact with colleagues and external stakeholders.

b. Have excellent time management skills and attention to detail.

c. Be able to deliver at pace and act promptly to reassess workloads and priorities when there are conflicting demands to maintain performance.

d. Should be experienced, honest, reliable and committed, with considerable initiative and the ability to learn quickly.

e. Be able to contribute to the big picture by remaining alert to emerging issues and trends which might impact your work area.

11. Additional Requirements

a. This role may require occasional travel within the UK, including attending evening or weekend events to assist in the delivery of DRM outputs.

b. The job holder is required to participate in all aspects of training and development, as identified in discussions with DRM COS, to make use of all relevant opportunities for training that may improve the effectiveness and efficiency of their appointment.

c. The job holder is to be aware that Health and Safety is the responsibility of all employees and that should ensure that their designated working area complies with statutory requirements in accordance with current H&S legislation.

d. The job holder is required to comply with the RFCAs’ Code of Conduct and to avoid any conduct which discriminates against colleagues, potential employees or contractors on the grounds of any protected characteristics, as identified by the Equality Act 2010.

e. Ensure compliance with data protection/freedom of information requirements.

f. Security clearance checks, appropriate to grade and job role will be undertaken.

g. The job holder may be requested to undertake additional or other activities of a similar nature to those within this job description, which fall within the capabilities and which are commensurate with the grade.
