North Tyneside Therapies Service is seeking to appoint an enthusiastic and motivated Administrative Assistant to provide a wide range of clerical support to our team.
Applicants should have previous experience working in a fast-paced office environment and possess excellent communication skills, both face-to-face, virtual, and over the telephone. The role involves handling sensitive and distressing information, requiring resilience.
You will need the ability to prioritize your workload, maintain flexibility, and respond quickly to urgent queries from staff and patients via various communication methods. Strong word processing and IT skills are essential, with competence in MS Office packages.
The post requires flexibility to cover staff absence. Daily tasks include managing telephone and computer communications, dealing with queries from staff, patients, and healthcare professionals, and recording information accurately. Responsibilities also involve logging referrals, booking appointments, sending correspondence, and assisting with mail distribution.
Additional duties include maintaining accurate records of goods and services, supporting service development and audit through various IT systems, and contributing to the review and improvement of administrative processes. The role involves maintaining electronic diaries, filing systems, data entry, and scanning documents onto patient records.
You will support administrative supplies management, adhere to policies and procedures, attend mandatory training, and work across multiple hospital sites and community clinics, providing high-quality patient care and supporting diverse populations.
