Job summary

The NHS Foundation Trust invites applications for a receptionist/administrator to join Benfield House, meeting and greeting patients and visitors in a busy reception. You will handle enquiries, prepare appointment letters, process mail, and support the admin team with IT tasks.

The role requires good English and Maths, proficient Microsoft Office skills (Outlook, Word, Excel, PowerPoint), confidentiality, planning ability and a friendly, proactive approach.

Qualifications

  • Good general level of education in English Language and Maths.
  • Typing/Word processing qualification (Level 2) or demonstrable experience.
  • NVQ Level 2 in Business Administration or Customer Service.
  • Proficient with Microsoft Office suite including Outlook and Word.

Responsibilities

  • Reception duties i.e. greeting all patient, carers and visitors to the service.
  • Handling routine enquiries via telephone, email or face to face.
  • Creating appointment letters in line with service procedures.
  • Processing internal/external mail.
  • Scanning, uploading, photocopying and filing documentation.

Education

Good general level of education in English Language and Maths

Benfield House is the team base for a diverse number of services including the Specialist Psychological Therapies, Personality Disorder Hub Team and Northern Region Gender Dysphoria Service. The successful applicant will work in the reception, meeting and greeting patients and visitors to the Centre from a diverse community.

The ideal candidate should have excellent communication, customer service and organisational skills, as well as a working knowledge of office procedures including IT skills.

You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you may not be shortlisted.

Main duties of the job

Successful candidate profile
  • Have a good general level of education including a pass in Maths and English.
  • Have knowledge and experience of Microsoft packages, particularly Outlook and Word as they will be using these on a daily basis.
  • Be flexible, show initiative, able to multi task and be adaptable to the needs of the role, team and service.
  • Ideally have experience of working within an administrative role or setting.
  • Be able to demonstrate a sensitive, non-judgmental approach to the client group and have an understanding of confidentiality and data protection regulations.
  • Have good planning and organisational skills and the ability to communicate effectively in a pleasant and approachable manner.
  • Be confident and motivated to work on their own with constant support and contact with the larger admin team.

The post holder will also undertake additional duties such as ordering supplies, requesting repairs and updating rotas and duty sheets. This list is not exhaustive.

  • Good organisational and planning skills using own initiative.
Desirable criteria
  • Knowledge of working in an NHS environment.

Education and Qualifications
Essential criteria

  • Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience
Desirable criteria
  • NVQ Level 2 in Business Administration.
  • NVQ Level 2 in Customer Service.
  • Working towards Level 2 standard in Maths and English.
