Pinney Talfourd LLP is seeking an Administration Assistant to provide practical and administrative support, ensuring the smooth day-to-day running of the office. The role is varied, hands-on and requires someone who is organised, proactive and willing to assist wherever needed.

The postholder will help maintain a professional, tidy and welcoming environment for staff, clients and visitors, with duties spanning reception cover, facilities coordination and general office assistance.

Responsibilities

  • Maintain a clean, tidy and welcoming office environment, including meeting rooms, shared areas, kitchens, refreshments, coffee machines and stationery supplies.
  • Provide practical administrative support across the office, including file closing, internal post distribution, deliveries, DX post, Post Office runs and general assistance to colleagues and departments.
  • Support reception as required, including covering breaks, lunch periods, holidays, unplanned absences and ad-hoc cover at other office locations, while assisting with client-facing duties in a professional manner.
  • Help coordinate day-to-day facilities matters by reporting maintenance issues promptly, liaising with contractors, arranging access where appropriate and following up on works as required.
  • Assist with office events and room set-ups, including preparing rooms, moving furniture or equipment, laying out refreshments and materials, clearing away afterwards and providing hands-on support when needed.
