Overview

Admin Assistant - 18 hours per week. This role is part of BPAS Solent Cluster with units in Basingstoke, Southampton and Portsmouth. You will work at Basingstoke with occasional travel to Southampton and Portsmouth. The closing date is 08 October 2025.

About the role

We are looking for an experienced Admin Assistant to join our unit in Basingstoke. As the Admin Assistant you will be responsible for completing all administrative and client support tasks within the unit, supporting clients through their episode of care. This is an 18 hours per week role working on Monday, Tuesday and Thursday. A detailed shift pattern can be found below in the further information section.

About You

You will have strong experience in an office environment performing administration duties. You will be an excellent communicator both internally and externally and will demonstrate a friendly and positive attitude when interacting with clients, colleagues, and external parties.

Main duties of the job
  • Answer and direct telephone queries, liaising with internal and external colleagues as necessary.
  • Accurately check or complete BPAS and legal paperwork, ensuring all relevant documentation is available for the client's episode of care.
  • Monitor, edit and amend appointment list using BPAS booking system, informing clients if changes to their appointment are necessary.
  • Assist in the monitoring, control and ordering of stock, sort and distribute incoming mail and prepare and dispatch statistical information and reports.

  • Experience of dealing face to face with clients who may be angry or upset within a care environment.
  • Knowledge of clerical procedures including checking documentation, telephone and reception duties.
  • Good attention to detail, supportive towards colleagues and clients and an effective team player.

Salary: £23,417 - £26,382 per annum pro rata, depending on skills and experience.

Shift pattern: 18 hours per week

  • Monday - 08:30 to 14:30
  • Tuesday - 08:30 to 14:30
  • Thursday - 08:30 to 14:30

Location: One unit will be classed as your base unit with mileage paid to the other two as per the BPAS expenses policy.

Experience
  • Administration experience gained within an office environment and general office duties, experience with clerical procedures including checking documentation, telephone and reception procedures
  • Experience of dealing face to face with patients who may be angry or upset within a care environment, healthcare administration experience
Qualifications
  • English and Maths qualification either GCSE A-C or Functional Skills Level 2 or GCSE 4+ or NVQ Level 2
  • Competent in Microsoft Office programmes including Word, Excel, Outlook and Microsoft Teams
