Job description

We are looking for an eCommerce Sales Operations Specialist to join our Sales Operations team
About the role

In this role, you will be responsible for the accurate, reliable and efficient day-to-day operation of Polar’s eCommerce channels, including direct-to-consumer webshops, retailer (RWS) and distributor webshops (DWS), and online marketplace channels. You will ensure that product, catalogue, pricing, campaign and other agreed customer-facing information is accurately maintained and implemented across relevant channels, and that customer order and payment issues are investigated and coordinated from front end to back end.

This is a hands-on operational role within Global Sales Operations. You will work closely with eCommerce channel owners, IT and development teams, Finance, Marketing, Supply Chain and local sales teams. Commercial direction and channel ownership remain with the relevant business owners; this role translates agreed decisions into controlled operational execution and follows issues through to resolution.

You will report to the Global Sales Operations Manager.

Key responsibilities will include:
eCommerce Operations & Issue Resolution
  • Coordinate and execute operational activities for ShopPolar webshops, online marketplace channels, RWS and DWS.
  • Investigate operational exceptions, order and payment issues, identify root causes and coordinate corrective actions with relevant stakeholders.
  • Serve as an operational subject-matter expert for eCommerce processes, maintaining clear operating practices and supporting continuous improvement initiatives.
Product, Catalogue & Pricing Administration
  • Maintain and coordinate product, catalogue, pricing and other agreed customer-facing information across ShopPolar, RWS, DWS and online marketplace channels.
  • Coordinate product launches, assortment changes, channel availability, approved pricing updates and discount rules in accordance with agreed commercial decisions and schedules.
  • Ensure products, catalogues, pricing, channel structures and operational content are accurately maintained, validated and consistently presented across relevant eCommerce channels.
  • Identify operational improvement opportunities related to product presentation, catalogue structures, customer experience and channel usability, and coordinate approved changes with relevant stakeholders.
Campaign & Promotion Operations
  • Set up and coordinate approved sales campaigns, promotions, pricing and discount rules across relevant eCommerce channels.
  • Validate campaign parameters and monitor implementation, identifying exceptions and coordinating corrective actions where required.
  • Support product availability follow-up, stock-risk management and agreed affiliate or partner-program administration.
  • Collect, clarify and document operational requirements and defects related to eCommerce channels, order and payment flows, pricing and product data.
  • Coordinate operational development activities and priorities between Global Sales Operations, eCommerce channel owners, Sales and IT or development teams.
  • Perform or coordinate user acceptance testing, verify fixes and support the controlled implementation of new or changed processes, integrations and tools.
Controls, Access & Compliance
  • Administer and periodically review operational user access in line with approved access-control and GDPR requirements.
  • Follow established approval, documentation and segregation-of-duties practices for pricing, campaigns and system changes.
  • Ensure operational activities are appropriately documented and elevate data-quality, customer-impact, financial or compliance risks to the responsible owner.
Cross-Functional Collaboration
  • Work closely with eCommerce channel owners, Global Sales Operations colleagues, IT and development teams, Finance, Marketing, Supply Chain, Customer Care and local sales organizations.
  • Coordinate dependencies and communicate status, impact, required decisions and completion clearly to relevant stakeholders.
  • Contribute to common eCommerce operating models, documentation and continuous improvement across channels and markets.
  • Cooperate with external platform or service partners when relevant.
Other duties / Responsibilities designed to this role
  • Take ownership of detailed operational tasks and follow issues through to completion while balancing changing priorities with recurring responsibilities.
  • Support operational assessment, setup, testing and implementation for new marketplaces after commercial ownership and decisions have been established.
  • Maintain the role boundary between operational execution and commercial or technical ownership. The role does not own channel P&L, eCommerce sales strategy, commercial assortment strategy, media strategy, brand content creation, platform architecture or technical development delivery.
We are looking for someone with
  • Bachelor’s education degree in business or commerce
  • At least 5 years of hands-on experience in order-to-delivery processes
  • Solid understanding in end-to-end order, payment, product and pricing flows across multiple systems.
  • At least 3 years of SAP SD experience
  • hands-on experience in CloudCommerce and / or Cloud-based services
  • 3-5 years of customer service and stakeholder management experience in an international environment
  • Strong attention to detail and a structured approach to data quality, testing, documentation and follow-up.
  • Analytical and practical problem-solving skills, with the ability to distinguish symptoms from root causes.
  • Ability to coordinate work effectively across global business and technical stakeholders without formal authority and to apply professional judgement within agreed instructions, mandates, policies and principles.
  • Good organizational and communication skills and a service-minded, customer-oriented way of working.
  • Fluent written and spoken English.
What else we would value?
  • Experience with webshops, online marketplaces, product information, payment processes or campaign configuration.
  • Experience with eCommerce or marketplace administration tools.
  • Experience in requirements definition, incident coordination, user acceptance testing or development backlog collaboration.
  • Basic understanding of GDPR, user-access controls and operational compliance requirements.

The position is located at Polar Headquarters in Kempele.
