Kenes Group in Madrid seeks a detail‑driven Program Manager to organize and run high‑level, content‑rich conferences and related professional events. You will work with scientific chairs and committees to guide programs from conception through execution, coordinating proposals, communications with clients, speakers and participants, and overseeing logistics.

Formación

  • Minimum 2 years of professional experience in program management or event planning.
  • Experience with scientific or medical conferences is a plus.
  • Strong written and spoken English and Spanish.

Responsabilidades

  • Support the preparation and management of all aspects of the scientific program, including proposals and submissions.
  • Manage communications and logistics for VIPs, committee members, and invited speakers.
  • Coordinate scientific meetings with Congress Chairs and committees.
  • Prepare written communications and publications related to the program.
  • Create, edit and proofread English content for conference publications.
  • Oversee the program across digital platforms and ensure quality and updates.
  • Manage the program onsite, handling faculty interactions and last‑minute changes.
  • Plan and prioritize tasks efficiently under tight deadlines.

Job Summary:

Are you a detail-driven professional with a passion for global collaboration and managing high-level, content-rich programs? In this role you will play a key part in organizing and managing programs for leading international medical and scientific conferences – and other professional fields.

You will be part of a dedicated project team, working closely with scientific chairs and committees to guide complex programs from conception through execution. This includes coordinating all aspects of the program development, managing communication with clients, speakers, and participants, and overseeing related logistics.

This position is ideal for someone who wants to build expertise and long-term relationships with global stakeholders, and who thrives in a highly collaborative, fast-paced, and detail-oriented environment.

Responsibilities:
  • Support the preparation and management of all aspects of the scientific program, including program proposals and submissions
  • Manage communication and logistics for VIPs, committee members, and invited speakers, including program requirements, travel arrangements, and reimbursement approvals
  • Coordinate scientific meetings with Congress Co-Chairs and committees
  • Manage written communications and publications (promotional, print, and online) related to the program
  • Create, edit, and proofread English content for conference publications
  • Oversee the scientific program across digital platforms (e.g., abstract systems, mobile apps, virtual platforms, webcasting, recordings, voting), including updates and quality assurance
  • Manage the program onsite, including faculty interactions, last-minute changes, and smooth event execution
  • Plan and prioritize tasks efficiently while adhering to tight deadlines
Requirements & Experience:
  • Minimum 2 years of professionalexperience in program management, project coordination or a similar event planning role (experience with scientific or medical conferences is a plus);
  • Strong written and spoken Englishand Spanish;
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with additional software for program management, content platforms, CMS (WordPress, website back-office editing) and virtual/online event tools is an advantage
  • Strong interpersonal and communication skills to interact with global stakeholders including scientific chairs, committees, speakers, and participants.
