Events Arena, a Barcelona-based events logistics partner, seeks a Logistics & Dispatch Manager to own the operational flow of premium event packages across Europe. You will coordinate end-to-end logistics, collaborate with reservations and travel teams, and lead a cross-functional intern in a fast-paced environment.

About Events Arena

Events Arena is a Barcelona-based B2B travel agency specialising in premium sports and cultural event packages across Europe. As an official distributor for major sports properties (football, F1, MotoGP, rugby, tennis, basketball) we work exclusively with professional clients through long-term partnerships.

The role

You will be in charge of the logistics chain at Events Arena: coordinating event operations, managing client documentation and ensuring clean execution across every package we deliver. This is a hands-on role with real operational ownership and close daily collaboration with our reservations, ticketing and travel sales teams. You will run your scope autonomously and be the reference point for logistics decisions, including during peak periods.

Responsibilities

• Overall supervision of package and event logistics
• Coordination of operational deadlines before, during and after each event
• Anticipating on-the-ground constraints and managing emergencies proactively
• Dispatch planning and allocation across live event files
• Vouchers & documentation Preparation, review and supervision of client vouchers, travel documents and tickets
• Preparation and sending of rooming lists to hotel partners
• Ensuring document compliance and accuracy across all client files
• Internal coordination & supervision
• Logistics interface between reservations, ticketing and packages teams
• Supervision of one cross-functional intern (bookings/logistics)
• Daily monitoring of internal tools with proactive reporting of key operational insights
• Contribution to continuous improvement of logistics and supply processes
• AI tools & systems Active use of AI tools (mainly Claude) in day-to-day operations
• Collaboration with our development team to identify friction points and adapt internal systems
• Testing new AI-powered workflows and supporting their rollout across the team

Requirements

• Proven experience in logistics, operations or travel coordination
• Strong organisation and anticipation skills
• Rigour, precision and operational reliability
• Analytical mindset applied to operational data
• Genuine autonomy: after training, able to run the function without daily supervision
• Clear cross-team communication and a sound sense of priorities under pressure
• Comfortable integrating AI tools into internal workflows
• Fluent in French and English. Spanish is a strong plus.

Looking for a long-term position rather than a short-term step

What we offer

• Permanent, full-time contract
• Poblenou office, Barcelona (on-site)
• 40 hours per week, 9:00 to 18:00 with a 1-hour break (flexible as needed)
• 23 working days of annual leave
