Your Role

As we expand, we are looking for a motivated and organized Team Assistant & Grant Coordinator (m/f/d) to join our multicultural team of ~70 tech-savvy personnel. In this role you will be the heart of our daily business operations — the go-to person who keeps things running smoothly, brings people together, and helps our team thrive every day. In cooperation with our finance and research teams, you’ll be the magic behind the scenes that makes great innovation possible. In the past seven years we successfully managed to receive and finish several research grants from European, German and state level and are planning to continue this journey. Our team prefers a modern way of working with smooth automation and easy tools over manual labor.

Your mission
  • Office Management: Oversee the daily operations of the office, ensuring it runs smoothly and efficiently.
  • Event Organization: Planning and organizing team events and activities.
  • Communication: Serve as a point of contact for internal and external stakeholders, drafting professional correspondence in both English and German.
  • Coordination: Collaborating with finance and research teams, managing timelines, and serving as primary contact for public research grant facilities.
  • Financial & Procurement Support: Handling office and research procurement and receipts to support budget control.
  • Internal Documentation: Maintain organized records and documentation related to office management ensuring adherence with internal policies.
  • External Reporting: Ensuring adherence to research funding guidelines, supporting progress reporting with timesheets, expense- and narrative-reports as well as preparing compliance audits.
  • Grant Lifecycle Operation: Managing pre-award and post-award processes, including scoping new grant opportunities, proposal development, budget preparation, submission, compliance, and closeout.
  • Process Optimization: Developing systems for tracking grants, deadlines, and reporting requirements.
Your profile
  • Experience: Previous experience in grant management and administrative or team assistant role. Understanding in hardware related grant writing as well as funding regulations and compliance helps.
  • Language Skills: Excellent written and verbal communication skills in both English and German (B2).
  • Organizational Skills: Strong organizational and multitasking abilities.
  • Proactive: A proactive approach to problem-solving and the ability to work independently and collaboratively.
  • Tech-Savvy: Proficiency in Microsoft Office and familiarity with other office database systems.
  • Attention to Detail: High level of attention to detail and accuracy.
