Jobbeschreibung

We’re a business navigating a period of transformation and growth, and we know that lasting progress is only possible when the people foundations underneath it are solid. We’re looking for an HR Administrator to be our regional presence in Germany, someone who takes genuine pride in getting the details right and who enjoys being the trusted, go-to person for People and HR matters.

This is a hands-on, varied role covering two connected halves: On the People side, you’ll support the full employee lifecycle for our EU-based population, working closely with, and reporting into, the HR Manager (UK/EU); from onboarding and contracts through to day-to-day queries, payroll inputs, and offboarding. On the office side, you’ll take ownership of day-to-day administration for our Germany offices, keeping things running smoothly for the team based there. You’ll be the face of People and HR ATG in Germany: a proactive, organised self-starter who is comfortable working independently, escalating the right things to the HR Manager, and building trusted relationships with employees at every level.

Tasks
  • HR Administration & Employee Lifecycle (Germany)
  • Act as the first point of contact for Germany-based employees on day-to-day HR queries, policies and procedures, escalating and supporting complex matters with the HR Manager (UK/EU)
  • Support the end-to-end employee lifecycle for Germany and EU employees, including onboarding, contract changes, promotions, transfers and offboarding
  • Prepare and issue employment contracts, contract amendments and other employment documentation in line with local legal requirements
  • Maintain accurate, up-to-date employee records and personnel files for the Germany population, ensuring GDPR compliance
  • Coordinate onboarding and induction for new starters in Germany and EU, including right-to-work checks, equipment set up, and welcome activities
  • Support recruitment activity for Germany-based roles, including scheduling interviews, liaising with candidates and hiring managers, and maintaining the applicant tracking system
  • Prepare and submit monthly Germany payroll inputs (e.g. new starters, leavers, changes), working closely with the HR Manager and the Mexico Service Centre
  • Support benefits administration for German employees, including pension, health insurance and other statutory benefits
  • Help ensure compliance with German and EU labour law and statutory requirements, flagging risks or changes to the HR Manager (UK/EU)
  • Support the administration of performance review cycles and any local training or development activity
  • Provide administrative support to the HR Manager on EU and Germany-related HR projects, audits and reporting
Office Administration (Germany)
  • Act as the main point of contact for day-to-day office administration in the German offices
  • Manage office supplies, equipment and vendor relationships
  • Support health & safety compliance for the Berlin office, including risk assessments and fire safety procedures
  • Organise office events, socials and wellbeing initiatives for the Berlin team, in partnership with the HR Manager and the wider Employee Experience calendar
  • Manage incoming and outgoing post, deliveries, and visitor arrangements for the Berlin office
  • Support new starters with desk set up, access passes/keys, and induction to the office
  • Liaise with building management/landlord on facilities issues
  • Support ad hoc administrative and office management tasks as required
Requirements
  • Some experience in an HR administration, HR coordinator, or office administration role (internships and placements considered)
  • Working knowledge of German employment law and HR practices
  • Fluent in German and English, both written and spoken
  • Strong organisational skills, with the ability to manage multiple priorities and competing deadlines
  • Excellent attention to detail and accuracy, particularly with employee data and documentation
  • A proactive, can-do attitude, comfortable working independently as the HR and office presence on the ground in Germany
  • Strong interpersonal and communication skills, with the ability to build trust with employees at all levels
  • Ability to manage confidential information with discretion
  • Comfortable using HRIS, payroll or office management systems (training provided)
Preferred
  • Studying towards or holding a relevant HR qualification (e.g. IHK Personalfachkaufmann/-frau or equivalent)
  • Experience supporting an international or matrixed organisation
  • Experience with office management or facilities coordination
Benefits
  • Dedicated international team with a flat organizational structure.
  • Ambitious projects to take ownership of, with a broad scope for co-decision-making.
  • Fully covered mobility (Deutschlandticket) or Wellbeing (Urban Sports Clubs).
  • Your well-being matters to us: take care of your mental health through a variety of classes, trainings and sessions with OpenUp.
  • Flexible working setup to make the most of your working hours: we offer flexibility in our Hybrid/Remote model; however, we do expect you to use our Berlin office in Charlottenburg 2 days per week.
  • Work from abroad fully remote for up to 30 working days per year.
  • Dog-friendly office: we can’t wait to meet your furry friend!
  • Of course, we have regular get-togethers, company events, and drinks and snacks you can enjoy at our office.
