About The Role
We’re hiring an Executive Assistant to work directly with our Co-Founder & CEO, Lennard, and maximize his impact. You will own calendar, scheduling, and operational coordination end-to-end—protecting focus time, accelerating decisions, and keeping priorities tight across Berlin and New York. This is a full-time, onsite role at our Berlin HQ and a high-trust, high-ownership position in a fast-growing AI company.
What you’ll own
- Calendar Ownership: Proactive end-to-end scheduling, priority management, buffer times, no-meeting blocks, and weekly re-planning
- Communications Gatekeeping: Email triage, drafting replies, inbox hygiene, and ensuring timely follow-ups
- Meeting Excellence: Agendas, briefings, prep materials, action tracking, and outcome notes
- Travel & Logistics: Itineraries, visas, bookings, reimbursements, and time-zone planning
- Stakeholder Coordination: Interface with internal leaders (sales, marketing, partnerships, ops) and external partners/investors
- Light Ops Support: Contracts/signatures, expenses, vendor coordination, and occasional event/offsite support
What we are looking for
- Act as a force multiplier for Lennard—anticipating needs, solving problems before they surface, and keeping the machine running
- Handle sensitive information with discretion and urgency
- Communicate clearly and concisely in English and German
- 3–6+ years supporting C-level leaders (startup/tech/consulting/banking context preferred)
- Exceptional scheduling and prioritization skills; you love building a clean, high-velocity calendar
- High discretion, trustworthiness, and service mindset
- Comfortable in fast-paced, ambiguous environments; you keep calm and create structure
- Strong command of Google Workspace, Slack, and Kanban tools; ideally CRMs (e.g., HubSpot)
