Are you highly organised, proactive and looking for a role that goes beyond traditional administrative support? Join our Construction & Project Management team in Berlin.

In this varied role, you will support the organisation and delivery of our construction and real estate projects. You will coordinate documentation, approvals, meetings and administrative processes while working closely with colleagues across Construction & Project Management, Asset Management and Technical Property Management, as well as with external project stakeholders.

This position offers you the opportunity to take ownership, actively shape your role and develop your expertise within an international and dynamic real estate company.

Working at Mileway

We offer an opportunity you simply won't find anywhere else. Founded in 2019, Mileway has quickly grown into Europe's leading last-mile logistics real estate company, with a team of more than 550 employees across over 20 offices in 11 countries.

From the beginning, Mileway set out to be a different kind of real estate company, with a cloud-based IT infrastructure and a team that combines local expertise with the collective strength of a pan-European business.

Our culture is fast-paced and truly international. Our colleagues, representing more than 50 nationalities, bring diverse perspectives and a strong can-do mentality to everything we do.

Although we have already achieved a great deal, we are only getting started. Our purpose is to be Europe's leading provider of last-mile logistics real estate, enabling businesses to thrive, driving sustainability forward and shaping the cities of tomorrow. To achieve this, we live our values: Drive, Trust, Grow and Together.

At Mileway, we believe company growth comes from developing our combined capabilities. That is why we offer an in-house learning and development programme, where personal, professional and business development go hand in hand, helping you shape your individual career path.

Your home base will be our Berlin office. In line with our company policy, you will work from the office at least three days per week.

What you'll do
  • Provide day-to-day administrative and organisational support to the Construction & Project Management team.
  • Help the team plan, organise and prioritise its activities, ensuring that deadlines, actions and project requirements are followed up effectively.
  • Provide administrative support throughout construction and development projects, from tendering and commissioning through to project follow-up.
  • Create, organise and maintain project files, contracts, agreements and other relevant documentation, ensuring that records remain complete and up to date.
  • Coordinate internal approval and signature processes through DocuSign and ensure that final documents are correctly recorded in Yardi and other relevant systems.
  • Support invoice and payment processes, following up with internal and external stakeholders to resolve missing information or outstanding actions.
  • Arrange internal and external meetings, coordinate agendas and prepare presentations, meeting materials and follow-up actions.
  • Support diary management, travel arrangements, correspondence and other practical requirements.
  • Work closely with colleagues across Construction & Project Management, Asset Management and Technical Property Management.
  • Liaise with contractors, consultants and other project stakeholders to coordinate documentation, meetings and administrative requirements.
  • Collaborate with other Team Assistants across Mileway to align ways of working, exchange knowledge and develop consistent processes.
  • Monitor deadlines and outstanding actions, proactively following up with the relevant colleagues and project stakeholders.
  • Review administrative processes, contribute ideas and identify opportunities to improve documentation, governance, reporting and team efficiency.
  • Provide additional administrative and organisational support to the team and Regional Director when required.
What you'll bring
  • A completed commercial or administrative qualification, or an equivalent qualification.
  • Relevant experience in a Team Assistant, project support, office coordination or comparable administrative position.
  • Ideally, experience within construction, real estate, property management, lease administration, a technical environment or another project-based organisation.
  • Excellent organisational and prioritisation skills, with the ability to manage several activities and deadlines simultaneously.
  • A structured, reliable and independent approach to your work.
  • The ability to think ahead, recognise connections between different activities and understand how decisions or delays may affect the wider project.
  • Strong attention to detail, particularly when working with contracts, approvals, project documentation and data.
  • Strong communication and interpersonal skills, together with a professional and service-oriented approach.
  • A proactive and practical mindset, with the confidence to take ownership and work collaboratively with colleagues across different teams and seniority levels.
  • Strong Microsoft Office skills, particularly in Outlook, Excel, Word and PowerPoint.
  • Experience with Yardi Voyager, Salesforce, DocuSign or similar property, document-management or approval systems would be beneficial.
  • Fluency in German and a good command of written and spoken English.
