Jobtailor is seeking an energized Operations Support Specialist to join our EMEA team, focusing on recycling project workflows and data management within COS.

You will coordinate onboarding of clinics, manage orders, invoicing, and regulatory documentation, while maintaining master data integrity and KPIs. Fluency in German and English, plus strong Excel/CRM skills, are essential for success.

• Coordinate transportation and recycling partners; resolve operational issues.
• Manage newsletter processes for partners and ensure high data quality.

• Support our Circularity Managers with day-to-day operations related to recycling projects.
• Serve as the primary point of contact for customers and partners across EMEA—from order processing (inquiries, disposal orders, invoicing) to handling complaints.
• Ensure compliance with relevant regulatory and documentation requirements.
• Manage the onboarding of new clinics and sites, including platform setup, CO₂ calculations, and shipping onboarding packages.
• Monitor material inventory in warehouses, reorder supplies as needed, and coordinate deliveries.
• Maintain and cleanse master data and product catalogs in the Circularity platform (COS).
• Coordinate transportation and recycling partners and resolve operational issues related to collections.
• Coordinate newsletter processes for partners and ensure high data quality.
• Identify weaknesses, define improvement measures, and optimize the end-to-end operational process chain.

Requirements

• Ideally, 1–2 years of professional experience in a manufacturing or logistics company, or alternatively in controlling or management accounting.
• Strong communication skills and a confident manner when dealing with suppliers, service providers, and customers.
• A structured approach to tasks and a keen eye for detail.
• Strong analytical skills and an interest in working with KPIs and performance metrics.
• Proficient in Excel and/or Google Sheets.
• Comfortable using CRM and platform systems as well as other IT tools, with the ability to learn new tools quickly.
• Self-driven and well organized, with the ability to independently manage and complete multiple parallel tasks.
• Remain calm when faced with short-notice operational issues, such as missed collections or delivery delays.
• Proficient in written and spoken German and English.
• Open to using AI tools in your day-to-day work or already have initial experience with them.
• Initial experience in automating or establishing operational processes.
• Additional language skills are a plus.
