Job summary

UTS Group - Unique Technology Solutions is seeking a Remote Project & Service Coordinator to own each job from approved quote to invoicing. You will schedule work, dispatch technicians and subcontractors, and keep clients informed from first call to final resolution.

This role is full-time (independent contractor) with a remote setup in Colombia. You will work Monday–Friday, 8am–5pm ET, using Zoho tools and AI-assisted workflows to ensure on-time delivery and accurate invoicing.

Qualifications

• 2+ years in project coordination, service dispatch, operations or procurement.
• Experience in security, low-voltage, electrical, construction or field service.
• Comfortable with purchase orders, invoicing and project documents.
• Excellent written and spoken English.
• A track record of owning outcomes, meeting deadlines and working without close supervision.

Responsibilities

• Log service requests and schedule technicians.
• Dispatch technicians and subcontractors and follow each call through to close.
• Keep clients informed from first call to resolution.
• Build project schedules and task lists from the approved quote.
• Coordinate technicians, subcontractors and suppliers.
• Monitor progress and resolve delays before they reach the client.
• Request supplier quotes and issue purchase orders.
• Track orders and deliveries so material is on site on time.
• Invoice clients when work is complete.
• Match vendor bills to purchase orders and jobs.
• Follow up on outstanding payments.
• Keep every project file, document and communication in the CRM.
• Prepare change orders and project close-out packages.
• Support sales with estimates and CRM follow-ups.
• Flag scope gaps or inconsistencies in drawings or client requirements early.
• Make day-to-day decisions without waiting for direction
• Work with AI assistants and automations as part of your daily workflow
