Job summary

Digital Executive is seeking a full-time Operations Specialist to support a healthcare company partnering with nurse practitioners to launch and operate insurance-based practices across the US. The role focuses on onboarding, credentialing, billing, and back-office operations so providers can focus on patient care.

You will manage 50+ active practices, support 5–6 new launches monthly, and develop templates, SOPs, and bulk workflows to scale operations.

Qualifications

• Minimum 2+ years of operations or admin experience supporting US healthcare practices, clinics, or startups
• Experience building and maintaining websites using WordPress, Squarespace, Wix, or Webflow
• Comfortable launching a new website from an existing template without developer support
• Experience managing Google Business Profiles at high volume, including verification, updates, and responses
• Professional English proficiency (C1+) and able to communicate with US clinicians on live calls
• Highly detail-oriented and comfortable working from structured checklists
• Strong follow-through and proactive in chasing missing information
• Process-oriented with a knack for creating templates, checklists, SOPs, and repeatable workflows
• Able to handle sensitive provider information carefully and responsibly
• HIPAA training completed or willingness to complete in the first week
• Owns a working laptop, reliable high-speed internet with backup, and a quiet space for calls

Responsibilities

• Own launch checklists for 5–6 new practices per month, configuring EHRs, templates, and go-live readiness
• Build new practice websites from templates without a developer
• Manage website updates (hours, services, providers, booking links) within two business days
• QA every website/page before going live
• Create and verify Google Business Profiles for new practices
• Maintain accurate Google Business Profiles for 50+ practices
• Publish Google Profile updates and respond to reviews within 48 hours
• Serve as first contact for nurse practitioners via email, Slack, and phone with documentation support
• Maintain first-response time of one business day for provider requests
• Collect documentation and forward to credentialing partner within three business days
• Track credentialing progress and flag delays before go-live
• Standardize website templates and bulk-profile management systems
• Build reusable response templates for common questions
• Create and maintain SOPs, checklists, and workflows
• Identify opportunities to batch or automate repetitive tasks to scale operations
