DeleteMe is seeking an organized Event Operations Coordinator to join our global Field Marketing team. Based in Medellín, Colombia, the role is hybrid, requiring 2 days in the local office and remote the rest of the time. You will manage registrations, logistics, budgets, and CRM data for events.

You will support marketing operations and create event-related materials, coordinating with US-based vendors and global teams. Strong English, logistics mindset, and autonomy are essential.

Formación

  • 1–2 years of professional experience in administrative, operations, or event planning roles.
  • Professional English proficiency (C1 or higher) is mandatory for coordinating with US vendors and global teams.
  • Based in Medellín, Colombia, with ability to commute to the office 2 days per week.
  • Strong organizational skills and time management with high autonomy.
  • Willingness to learn HubSpot and Salesforce.
  • Ability to troubleshoot logistical issues under pressure.

Responsabilidades

  • Coordinate registration and logistics for conferences, trade shows, and industry dinners (badges, seats, sponsorship deliverables, dietary/attendee info).
  • Track sponsorship costs, vendor invoices, and event spend; flag discrepancies or payment deadlines.
  • Arrange shipping of booth materials, collateral, and swag; track shipments for on-time arrival.
  • Monitor event inventory; flag low stock and coordinate reorders with vendors.
  • Maintain the field events calendar with deadlines, commitments, and timelines.
  • Send reminders via Slack and email about deadlines, shipments, and prep tasks.
  • Set up and monitor event registration pages where the company sponsors or exhibits.
  • Format and clean post-event lead spreadsheets for CRM uploads (HubSpot/Salesforce).
  • Create event-related social graphics using templates.

Job Summary:

We are looking for an organized, proactive, and eager‑to‑learn Event Operations Coordinator to join our global Field Marketing team. This is a hybrid role based in Medellín, Colombia, requiring you to work from our local office 2 days a week and remotely the rest of the time.

Job Responsibilities:
Event Operations & Logistics (90%):
  • Coordinate registration and logistics for the team's attendance at external conferences, trade shows, and industry dinners (badges, seats, sponsorship deliverables, dietary/attendee info, etc.)
  • Track sponsorship costs, vendor invoices, and event-related spend against budget; flag discrepancies or upcoming payment deadlines
  • Arrange shipping of booth materials, collateral, and swag to event venues, and track shipments to confirm on‑time arrival
  • Track event inventory remotely — monitor stock of swag and collateral, flag low supply, and coordinate reorders with vendors
  • Maintain the team's field events calendar, tracking registration deadlines, sponsorship commitments, and vendor payment/delivery timelines
  • Send reminders to traveling team members via Slack and email — covering upcoming deadlines, shipment status, sponsorship deliverables, and event prep tasks
  • Set up and monitor event registration pages where the company is sponsoring or exhibiting
Marketing Operations Support (10%):
  • Format and clean post‑event lead spreadsheets for upload into HubSpot and Salesforce
  • Use templates to create event‑related social graphics when needed
Job Requirements:
  • Location & Availability: Must be based in Medellín, Colombia, with the ability to commute to our office 2 days per week
  • Experience: 1–2 years of professional experience in administrative, operations, or event planning roles
  • Language Skills: Professional English proficiency (C1 level or higher) is mandatory, as you will coordinate daily with US‑based vendors and global teams
  • Strong Organization: Exceptional time‑management skills and comfort juggling multiple external deadlines (shipping cutoffs, registration windows, budget deadlines) with high autonomy
  • Remote/Hybrid Work Skills: Comfortable working both independently from home and collaboratively from the office, maintaining strong asynchronous communication habits (Slack, email)
  • Basic Financial Tracking: Comfort working with spreadsheets to track budgets, invoices, and expenses (no formal finance background required)
  • Technical Aptitude: No prior CRM experience is required, but you must have a strong willingness and aptitude to learn HubSpot and Salesforce
  • Problem‑Solving: Calm under pressure—able to troubleshoot logistical hiccups (delayed shipments, last‑minute vendor or registration changes) swiftly and remotely
