Qualifikationen

• Commercial or business administration education, ideally with a focus on finance, accounting, or order management.
• Several years of experience in administrative, customer service, order management, or commercial support roles.
• Experience with ERP systems; Oracle/BOSS Order Management knowledge is a plus.
• Strong MS Office skills, particularly Excel, Word, and Outlook.
• Excellent organizational and prioritization skills.
• Strong attention to detail and accuracy.
• Good communication and interpersonal skills.
• Proactive, solution-oriented mindset.
• Ability to work under pressure and manage competing priorities.
• Fluency in German & English.

Aufgaben

• Managing and coordinating customer orders from receipt through to invoicing.
• Registering customer orders in the ERP system and maintaining related planning files.
• Preparing customer invoices, including down payment invoices and settlements.
• Ensuring accurate billing in collaboration with operational teams.
• Monitoring customer order backlogs and ensuring alignment between invoices and customer purchase orders.
• Maintaining data quality and supporting master data management processes.
• Reconciling Order Management reports with financial and General Ledger reports.
• Preparing sales and operational statistics.
• Supporting accounts receivable activities and collaborating with the Shared Service Center on collections.
• Creating and managing master data requests.
• Supporting procurement and material ordering activities.
• Coordinating with internal logistics teams to ensure efficient service delivery.
• Providing administrative support, including reception duties where required.
• Participating in internal training activities and supporting knowledge sharing within the team.
• Ensuring compliance with SGS quality, health, safety, environmental and integrity standards.
