Zusammenfassung

Qualifikationen

  • 3 to 7 years of experience in expatriate housing, relocation services, facilities management, hospitality operations, administration, real estate coordination, or vendor management.
  • Fluency in German, English and French, written and spoken.
  • Proficiency in MS Office, especially Excel, Outlook, Teams, and PowerPoint. Experience with lease trackers and hands-on experience in ARIBA is preferred
  • Bachelor's degree in business administration with Swiss/global customer experience

The Expat Housing Coordinator

1s responsible for managing and coordinating housing and accommodation services for expatriate employees assigned to Switzerland. The role ensures a seamless relocation experience by identifying suitable accommodation, coordinating lease agreements, managing housing vendors, ensuring adherence to company policies and local tenancy practices, and providing ongoing support throughout the assignment period.

The position acts as the single point of contact for expatriates, landlords, relocation agencies, serviced apartment providers, HR, Global Mobility, Finance, Procurement, and Administration teams to deliver timely, compliant, cost-effective, and employee-friendly housing solutions.

Key Responsibilities
Expat Housing Management
  • Manage end-to-end housing arrangements for expatriate employees relocating to Switzerland.
  • Identify temporary and long-term accommodation options based on policy, budget, family size, assignment duration, commute needs, and employee preferences.
  • Coordinate property shortlisting, viewing appointments, housing selection, and move-in readiness.
  • Maintain an updated inventory of approved housing providers, serviced apartments, landlords, and available units.
  • Ensure accommodation availability is synchronized with employee arrival schedules and project mobilization timelines.
Relocation & Employee Support
  • Serve as the primary point of contact for expatriates on housing-related queries and escalations.
  • Provide practical locat'orientation,6n housing norms, neighborhood suitability, tenancy practices, public transport access, utilities, and living conditions.
  • Coordinate move-in, key handover, inventory checks, defect reporting, and move-out inspections.
  • Support utility registrations, registration-related accommodation documents, mailbox/nameplate coordination, and other housing administration requirements where applicable.
Vendor, Landlord and Agencies
  • Build and maintain relationships with landlords, property managers, real-estate agencies, relocation partners, and serviced apartment providers.
  • Negotiate favorable leas1 terms, rental rates, deposits, notice periods, extension terms, and se1vice levels within approved budgets.
  • Monitor vendor perform1nce against agreed service standards, responsiveness, quality, and cost expectations.
  • Resolve disputes, complaints, maintenance escalations, and service failures in coordination with relevant stakeholders
Lease Administration & Documentation
  • Review. lease agreements for accuracy, completeness, policy alignment, and commercial reasonableness before execution.
  • Coordinate lease signing, renewals, extensions, amendments, terminations, deposit management, and handover documentation.
  • Maintain a central registry of lease documents, addendums, inventory records, inspection reports, and vendor correspondence.
  • Track lease expiry dates, notice periods, and renewal decision timelines to avoid business disruption or avoidable costs.
Budget, Invoice & Cost Control
  • Track housing expenses against approved budgets and assignment entitlements.
  • Validate housing-related invoices, deposits, agency fees, utilities, and service charges before routing for payment.
  • Coordinate with Finance and Procurement to purchase orders, vendor onboarding, payment status, and cost allocation.
  • Identity opportuniti6s for cost optimization through demand planning, negotiated rates, consolidation, early termination management, and Lesage reporting.
  • Ensure housing arrangements align with company housing policy, delegation of authority, procurement norms, data privacy expectations, and applicable local practices,
  • Support internal audits, compliance checks, and documentation reviews related to expatriate accommodation.
  • Maintain appropriate records for policy exceptions, approvals, deposits, liabilities, and employee acknowledgement where required.
  • Escalate risks relating to unsafe accommodation, non-compliant contracts, excessive costs, employee dissatisfaction, or vendor performance gaps.
Reporting & Data Management
  • Maintain housing databases, occupancy records, vendor lists, cost trackers, lease calendars, and employee allocation records.
  • Prepare weekly/monthly dashboards covering arrivals, departures, open requirements, occupancy, lease expiries, costs, and escalation's.
  • Track KPls and provide insights to improve service delivery, cost control, and planning accuracy.

  • Bachelor's degree in business administration, Hospitality Management, Facility Management, Real Estate Management, Proven track record with reaching targets with Swiss and/or global customers
