Job summary

Florence Unified School District is seeking an Auction & Procurement Processor to coordinate surplus property and the district's auction process. You will identify, document, remove from inventory, list for auction, and transfer surplus items to purchasers per district policies and state regulations.

You will handle online auction site management, asset documentation, and coordination with departments to determine items eligible for disposal, while maintaining records and ensuring compliance

Responsibilities

Summary The Auction & Procurement Processor is responsible for coordinating the district's surplus property and auction process. This position ensures that surplus items are properly identified, documented, removed from district inventory, listed for auction, and transferred to the purchaser in accordance with district policies, state regulations, and asset management procedures.

Essential Functions

  • Manage and maintain the district's online surplus auction site.
  • Coordinate the identification and collection of surplus equipment and materials from all district locations.
  • Photograph, catalog, describe, and post surplus items for auction.
  • Work with district departments, including but not limited to, Technology, Support Services, Business Services to determine items eligible for disposal or auction.
  • Ensure all surplus assets are properly removed from the district's fixed asset inventory and applicable records prior to disposal.
  • Coordinate with the Business Office regarding asset documentation and inventory requirements.
  • Schedule and conduct public pick-up appointments for auction purchases.
  • Verify purchaser identification and ensure all required paperwork, receipts, and release documents are completed before property leaves district custody.
  • Ensure all transactions comply with district policies, procurement procedures, and applicable Arizona laws.
  • Maintain accurate records of auction activity, asset disposition, and supporting documentation.
  • Provide excellent customer service when working with district staff and members of the public.
  • Maintain organized storage areas for surplus property awaiting auction or pickup.
  • Assist with other procurement, inventory, and warehouse duties as assigned.
  • Regular interaction with district staff, vendors and members of the public.

Knowledge, Skills, and Abilities

  • Knowledge of inventory control and asset management procedures.
  • Ability to organize and prioritize multiple projects.
  • Strong computer skills, including Microsoft Office and online auction platforms.
  • Strong written and verbal communication skills.
  • Ability to work independently with minimal supervision.
  • Ability to maintain accurate records and attention to detail.
  • Ability to interact professionally with district employees and the public.

Equipment: Use standard office equipment such as a personal computer, copy machine, fax machine, telephone. Proficiency with standard office technology, proficient in Excel and or Google, use of bar code scanners and inventory software.

Safety Requirements: Follows all applicable safety rules, procedures and regulations governing the proper use of tools and power equipment used in the performance of duties. Wear appropriate safety gear, including masks. Must comply with the school district's chemical hygiene program and follow MSDS sheets.

Travel Requirements: Travel to site locations is required, a district vehicle may be requested if travel is to multiple sites, or out of district site in one day. Limited travel to and from meetings or central office may be required

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma or GED required.
  • Experience in inventory management, purchasing, warehousing, or property control preferred.

Clearances

  • Valid I-9 form
  • Valid AZ Drivers License, with clean driving record

Working Environment: The usual and customary methods of performing the job's functions require the following physical demands; the employee is frequently required to sit, requires mobility for reaching filing and bending; must possess adequate hearing, oral and vision skill to perform daily functions of the job. The employee is occasionally required to stand; walk. The employee must be able to lift and/or move up to 50 pounds. Job functions may require working in extreme heat/cold conditions in an outside environment.

Terms of Employment

  • Part time position not more than 19 hours per week
  • Grade E of the classified hourly salary schedule
  • 12 month position, 1 year limited based on needs of district

Evaluation: Performance of this position will be evaluated annually by the Director of Support Services, in accordance with Governing Board Policy.
