25hours Hotel Zürich West is seeking an Assistant Groups & Event Manager to support planning and executing events at our Zürich West location. You will work closely with the events team, coordinate with internal departments, and ensure smooth check-ins and guest experiences.

Bring passion for hosting, strong communication, and fluency in German and English. This on-site role offers a dynamic environment and opportunities to contribute to sales activities and customer relationships.

Qualifikationen

• Experience as a host or event coordinator is required.
• Ability to translate menus and event documents (German/English).
• Strong communication and people skills are essential.

Aufgaben

• Look after event guests and coordinate with internal teams from start to finish.
• Handle group inquiries for 8+ rooms and prepare quotations, contracts, and invoices.
• Prepare forecasts, reports and sales analyses; attend internal meetings; maintain client relationships.

Job Description

How does your working day looks like ...

• You’ll look after our event guests – working closely with your team from early morning until late
• You’ll coordinate events with all internal departments and ensure that everyone has all the necessary information
• You’ll be responsible for translating menus and various event and sales documents (German/English)
• You will be responsible for all group enquiries for 8 rooms or more
• You will be responsible for preparing quotations, contracts and invoices
• You will prepare forecasts, reports and sales analyses
• You will attend internal meetings
• You will act as the point of contact for the team in the manager’s absence
• You will draw up training and rota schedules
• You will actively maintain customer relationships and support sales activities
• You will ensure compliance with hotel standards and quality assurance in the events department
• You will enter bookings into the system, draw up rooming lists and prepare everything for a seamless check‑in and stay
• You conduct customer meetings on site and follow these up with telephone discussions.
• You organise tours of the premises for event and corporate clients
• You prepare for each shift and ensure that everything is tidied up afterwards
• You keep a clear overview, even when every room in the hotel is booked out and things are getting hectic
