Work Environment : In-Centre- 2-3 days per week / Remote. Flexible hours between 9 : 00 am & 5 : 00 pmSome evening and weekend work may be required based upon business needs. Since 1988, Pozitive Pathways, a registered charity, has evolved and diversified to address the emerging needs of our community. Our staff, peers, and volunteers provide in-reach and out-reach services to clients and service users through our Support Services and Needle Syringe Programs. Additionally, we provide education and resources to community members and service providers working with populations that are most vulnerable to HIV and HCV transmission Pozitive Pathways understands that historically marginalized groups in our communities often encounter particular barriers to full access of support and participation. We, therefore, commit to actively dismantling all forms of racism and systemic oppression with greater involvement and meaningful engagement of people living with HIV at the forefront, including in our own organization and across governance structures. As a settler agency, Pozitive Pathways stands in solidarity with Indigenous and Black Peoples across Turtle Island and recognizes the role we have in the work of reconciliation and healing. About the Role : As a key member of the Senior Management Team and the primary operational leader reporting to the Executive Director, the Manager of Operations plays a critical role in ensuring the stability and effectiveness of Pozitive Pathways’ day-to-day administrative and business functions. This position is designed to strengthen internal systems and processes, allowing the Executive Director to focus on strategic initiatives and external relations. The Manager of Operations may also serve as Acting ED during periods of absence, ensuring consistent organizational leadership. The Manager focuses on improving operations and business practices, managing systems and technology, and ensuring that organizational policies and practices nurture a thoughtful organizational culture. In all of their work, they put people living with HIV / AIDS (PHAs) at the centre of service delivery by ensuring the greater involvement and meaningful engagement of PHAs (GIPA / MEPA) and utilize Anti-Racism / Anti-Oppression (ARAO) Organizational Assessment in program design, delivery and evaluation. They also understand the intersectional issues impacting the lives of our clients and passionately cultivate Pozitive Pathways to be a healing and welcoming space where all can be their authentic selves. Accountability The Manager will collaborate across the organization to build trust and ensure accountability as part of a supportive work culture. Main Tasks & Responsibilities :

  • Report on financial, IT, and Facility updates of the organization to the Executive Director on a monthly and quarterly basis.
  • Responsible and accountable for the smooth running of all business operations with the Administration Team, through a strong and secure infrastructure and a safe and healthy office environment.
  • Identify best practices and improve internal systems with an eye toward future needs and budget realities – specifically, support improved information flow, business processes, and organizational planning.
  • Collaborate with the senior management team on agency-wide initiatives such as strategic plan implementation, risk management, and operational planning
  • Apply knowledge of the Occupational Health and Safety Act (OHSA), Personal Health Information Protection Act (PHIPA), Accessibility for Ontarians with Disabilities Act (AODA), the Ontario Human Rights Code, and other relevant legislation
  • Fulfills the role of Acting Executive Director, as needed Finance & HR Admin
  • Collaborate with the Senior Management Team to develop financial strategies that align with Pozitive Pathways' operational goals, focusing on long-term sustainability and growth.
  • Oversee the creation and management of organizational budgets, ensuring alignment with strategic priorities and funding requirements.
  • Regularly review and analyze financial performance, including budget variances, to identify trends, risks, and opportunities for improvement.
  • Work with department heads to optimize resource allocation and ensure financial resources are used efficiently and effectively across all programs.
  • Identify financial risks and develop strategies to mitigate them, ensuring the organization’s financial stability, including informing the Executive Director of identified risks or potential liabilities and recommended action, where appropriate
  • Engage with the Board of Directors, Executive Director and external stakeholders on financial matters, providing clear and insightful reports that support decision-making.
  • Lead initiatives to identify cost-saving opportunities, improve procurement processes, and enhance financial controls.
  • Review, develop, and implement financial policies and procedures to safeguard the organization's assets.
  • Ensure compliance with accounting standards and regulations
  • Knowledge of occupational health and safety requirements, employment standards, pay equity legislation, and the Income Tax Act, with the ability to understand, interpret, and apply provisions of applicable legislation and internal policies and procedures within a non-profit setting.
  • Provide Human Resources Admin Support in developing letters of employment, payroll, monitoring vacation and sick days, and producing T4 slips, benefits, and RRSP management.
  • Ensuring Petty Cash requirements are being met. Working with on-site agency peers to ensure that stipends are being provided. Information Technology (IT) and Facilities Management
  • Responsible for the development and implementation of Pozitive Pathways IT and Facilities strategy, ensuring that the systems and tools align with Pozitive Pathways' needs
  • Provide supervision and oversight to the Information Technology (IT) and Facilities teams
  • Oversee the development and implementation of risk management, data confidentiality safeguards, and handling of electronic information policies
  • Knowledge and experience in providing oversight of all aspects of property and facilities management, including purchase and lease arrangements, preventative and routine maintenance, grounds, building and fleet management and maintenance.
  • Provide oversight to all aspects of facility operations while concentrating on compliance with health, safety, and environmental regulations.
  • Negotiate and manage contracts, building leases, insurance policies, and procurement processes
  • Participate in Pozitive Pathways' strategic planning with an emphasis on long-term facility planning and development while ensuring alignment with Pozitive Pathways' mission and goals
  • Basic understanding of building systems to ensure safety and cleanliness standards, to include fire codes, and fire safety (OHSA) (an asset).
  • Manage the performance of staff to develop skills through training and mentoring that will ensure all IT / facilities operated by the organization are well to adopt current best practices
  • Ensure compliance with all standards and that requirements are met regarding building and fire codes, occupational health & safety, infection control and other legislation
  • Act as AODA Lead and provide guidance and leadership on improving accessibility at Pozitive Pathways Qualifications and Experience Required
  • Seven or more years in a senior leadership role in the not-for-profit sector.
  • Experience with performance management processes and systems.
  • Experience with Sage Accounting
  • Superior hands-on knowledge of finance operations and principles in the not-for-profit sector.
  • Strong working knowledge and experience in the operations of Information Technology (IT)
  • Strong working knowledge and experience in facilities management
  • Strong working knowledge of industry regulations and legal guidelines.
  • Strong analytical and problem-solving skills across functional areas of an organization.
  • Strong organizational and time management skills with attention to detail.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Advanced Microsoft Office (Word, Excel, PowerPoint, Access) skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Leadership and decision-making skills, as well as the ability to work collaboratively in a team.

  • Have successfully built, developed, mentored, and managed multi-functional teams.
  • Proven track record of success leading and facilitating progressive organizational change and development within an organization.
  • A university degree in a related / applicable discipline, MBA, or equivalent experience is considered an asset.
