Job summary

Croft Financial Group in Toronto is seeking a Trade Desk Operations Specialist to own the day-to-day trading activity, support Portfolio Managers and Compliance, and manage the full trade lifecycle with disciplined, auditable records.

The role requires 3–5+ years in trade operations, with a focus on accuracy, reconciliation, and process improvements; the position offers a base salary of $75,000–$90,000 CAD with bonus and benefits in a flexible hybrid setup.

Qualifications

• 3–5+ years of relevant experience in trade operations, investment operations or a related asset-management environment.

Responsibilities

• Oversee the end-to-end trade lifecycle, including trade preparation, review, validation, execution coordination, allocation, settlement and follow-up
• Maintain accurate and up-to-date trade blotters and transaction records across all relevant systems
• Coordinate with custodians, brokers, counterparties, Portfolio Managers, Operations and Compliance to ensure timely and accurate execution and settlement
• Identify, investigate, review, and resolve trade errors, discrepancies, settlement breaks, and allocation issues
• Ensure all trading activity is supported by complete, accurate, and auditable records
• Act as the primary operational contact for Portfolio Managers and Compliance on day-to-day trade-related matters
• Monitor daily trading activity for completeness, accuracy, and operational efficiency
• Review trade instructions and supporting information prior to execution
• Monitor outstanding trades and settlement activity through completion
• Recommend and implement improvements to trade desk workflows, controls, documentation, and processes
• Manage the daily asset movement tracker, reviewing contributions, redemptions, withdrawals, deposits, and transfers to determine required trading activity
• Work with Portfolio Managers to determine the trades required to rebalance portfolios and establish appropriate target cash positions in advance of trading
• Coordinate and validate transfers in-kind and in-cash, ensuring accurate treatment and alignment with portfolio positioning
• Confirm that all asset movements are accurately reflected in daily trade requirements and incorporated into trade tickets
• Work closely with Portfolio Managers, Operations and, as applicable, Compliance to ensure consistency between asset flows, cash requirements, portfolio positioning, and executed trades
• Identify and resolve discrepancies between asset movement data, account cash balances, portfolio positions, and trade instructions before final execution
• Monitor upcoming cash requirements and movements to assist Portfolio Managers in ensuring sufficient liquidity is available
• Confirm completed asset movements and trades are accurately reflected in the appropriate systems, accounts and blotters
• Perform daily reconciliation of trading activity between internal systems, custodial records, trade confirmations, and portfolio records
• Identify trade breaks, unmatched transactions, incorrect allocations, pricing issues, or other discrepancies
• Investigate exceptions promptly, review with Operations and Compliance as appropriate, and coordinate their resolution with the appropriate internal or external parties
• Track outstanding operational issues through resolution
• Maintain clear documentation of trade corrections, cancellations, rebooks, and other adjustments
• Escalate material trading or settlement issues to senior management and Portfolio Managers as appropriate
• Maintain accurate records of trade exceptions and recurring operational issues to support process improvement
• 4. Trading Systems, Records & Process Management
• Maintain accurate trade tickets, blotters, transaction records, settlement information, and supporting documentation
• Ensure information is entered consistently and accurately across trading, portfolio management, custodial, and operational systems
• Support the development and maintenance of standardized trade desk procedures and documentation
• Assist with testing and implementation of enhancements to trading systems, reporting tools, and operational workflows
• Identify opportunities to improve automation, data quality, workflow efficiency, and scalability
• Maintain organized records that provide a clear audit trail of trading activity and operational decisions
• Ensure appropriate operational controls are applied throughout all stages of the trade lifecycle
• Identify potential operational risks relating to trade execution, settlement, asset movements, cash management, and transaction processing
• Recommend practical measures to reduce errors, exceptions, and processing risk
• Support the implementation and monitoring of internal controls related to trade execution, documentation, reconciliation, and recordkeeping
• Identify recurring issues and recommend changes to processes, systems, or workflows
• Contribute to the development of a scalable and controlled trading environment as the firm grows
