Reporting to the Vice President, the Tenant Services Coordinator will be the first point of contact for tenants and the coordination hub between the property management team and mobile Building Operators. This is a busy, hands-on role that combines tenant services, property administration, work-order coordination, and day-to-day office support.
You will receive tenant requests by phone, email and MRI Angus, create and assign work orders, coordinate with Building Operators and contractors, follow up with tenants and help ensure requests are completed and closed out. Requests will vary, from matters relating to tenant comfort, building services and access through to other day-to-day operational needs. Escalate more complex matters requiring lease interpretation or Property Manager involvement, as appropriate.
The role also includes preparing tenant and contractor notices, supporting tenant move‑ins and move‑outs, maintaining key building information, coordinating access and utilities, and assisting with building operations and compliance requirements.
As the position is based at reception, you will also help keep the office running smoothly by greeting visitors, directing calls and deliveries, coordinating supplies, mail, filing and office services, and supporting occasional company events and special projects.
You bring at least two years of experience in property administration, tenant services or a similarly high-volume coordination role. Experience with MRI Angus Tenant Request and Preventive Maintenance modules is preferred, along with comfort using Yardi and Microsoft Office.
More important than a specific title is your ability to stay accurate and organized while managing many small requests at once. You are friendly and service-oriented, but also patient, composed and able to maintain appropriate boundaries with demanding tenants. You communicate clearly, follow through consistently and take responsibility for solving problems rather than waiting to be asked.
