Position Summary

The Service Coordinator is responsible for the prompt and accurate submission of warranty-related claims, systems processing and document management. The Service Coordinator is responsible for the prompt and accurate submission of manufacturer warranty claims. Reporting directly to the Service Manager, the Service Coordinator will work within a small team, the right candidate will be passionate about delivering high-quality work, with a “roll up your sleeves” kind of attitude. This is a full-time onsite position that requires strong detail-oriented, organization, and teamwork skills and someone who is well-versed in glass line and production environments. The successful candidate will be disciplined, punctual, and a strong team player dedicated to generating an engaged and safe work environment.

Key Responsibilities

  • Provide administrative support to the Service Department, including scheduling, data entry, system updates, and inventory tracking.
  • Serve as the first point of contact for customers, responding to service inquiries and concerns with professionalism and a customer-first attitude
  • Respond promptly and professionally to customer emails and service-related requests, ensuring clear communication and timely resolution.
  • Accurately input service orders into the system, ensuring all information is entered in a timely and precise manner.
  • Conduct follow-ups with clients post-service to gather feedback, measure satisfaction, and address any outstanding concerns.
  • Understand and process warranty claims accurately, ensuring entitlement validation and complete documentation within internal systems.
  • Monitor and report on essential service metrics such as turnaround time, service quality, and customer satisfaction.
  • Ensure full compliance with service-related contractual obligations and maintain thorough, up-to-date documentation.
  • Act as a central communication link between internal departments, field service teams, and external vendors to streamline issue resolution and service delivery.
  • Identify and report service delays, recurring issues, or customer concerns to the Service Manager, contributing to continuous improvement efforts.
  • Maintain accurate and timely records using the Fenevision system to support effective tracking and service coordination.
  • Spend time in the production area to deepen understanding of product components, materials, and manufacturing processes, enhancing service accuracy.
  • Take initiative in identifying opportunities for process improvement, supporting special projects, and contributing to a more efficient service operation.

Knowledge & Skill Requirements

  • 3–5 years of experience in customer service, sales coordination, or vendor management, preferably in a B2B or manufacturing environment.
  • Excellent verbal and written communication skills with a strong customer-service mindset.
  • Highly organized, detail-oriented, and able to manage multiple priorities effectively.
  • Proficiency in Microsoft Office (Outlook, Excel, Word).
  • Ability to work collaboratively in a team-based, fast-paced setting.
  • Experience working with service technicians or field teams is a plus.
  • Eagerness to learn about products and services through time spent in production.
  • Dependable, punctual, and committed to fostering a safe and engaged work environment.
  • Proficiency in Microsoft Office, including Outlook, Excel and Word.
