Job summary

Finning Canada in Fort McMurray, AB is seeking a Service/Project Coordinator to manage maintenance and repair administrative activities across the service lifecycle. You will review requests, verify accounts, track progress, and coordinate with operations to ensure a seamless, safe, and compliant service delivery.

Qualifications

  • Degree or diploma in Business, Administration, Accounting, or a related field.
  • Experience in a Service Coordinator, Project Coordinator, Field Administrator, Site Administrator, or similar role.
  • Strong understanding of project coordination principles, including scheduling, budgeting, communication, risk management, and stakeholder engagement.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and adapt in a fast-paced environment.
  • Strong organizational skills and exceptional attention to detail.
  • Proficiency with Microsoft Office applications and administrative systems.
  • Experience supporting maintenance, construction, mining, oil and gas, forestry, marine, heavy equipment, or dealership operations is asset.
  • Knowledge of document control, billing processes, work orders, and repair administration is an advantage.

Responsibilities

  • Coordinate maintenance and repair administrative activities from service request through to work order completion.
  • Review service requests to ensure scope, budget, and scheduling requirements are clearly defined.
  • Verify customer account details, credit approvals, service history, and applicable support programs.
  • Track repair progress and provide updates to key stakeholders throughout the lifecycle of each work order.
  • Attend planning, scheduling, and job review meetings, documenting action items and maintaining project timelines.
  • Identify and communicate potential risks, delays, budget variances, and rework concerns.
  • Coordinate site access requirements and training clearances for service technicians.
  • Monitor documentation requirements, including service reports, labour entries, billing information, parts returns, and supporting paperwork.
  • Support work order closeout activities and ensure all required documentation is completed accurately and on time.
  • Collaborate with operations, service, parts, and administrative teams to ensure an exceptional customer experience.
