What You Will Do:

  • Greet customers over the phone in a professional and friendly manner, ensuring a strong focus on their needs.
  • Keep customers informed with timely updates on job status and progress.
  • Create work orders in Windward System 5, including accurate customer contact details, clear problem descriptions, and all relevant equipment nameplate information.
  • Obtain and input customer purchase orders into the system when available.
  • Schedule field service jobs by entering them into the Outlook calendar and coordinating timing and resources with internal teams.
  • Collaborate with the Fabrication Manager to align fabrication jobs with field service needs.
  • Arrange for necessary tools, equipment, and delivery logistics, including scheduling drivers for items too large for the Field Service Technician to transport.
  • Send daily job details and work orders to the Field Service Technician via email prior to site visits.
  • Monitor and respond promptly to all incoming service-related emails.
  • Process completed field service reports by matching them with corresponding work orders and taking appropriate next steps.
  • Track and locate customer products brought into the shop by Field Service Technicians for repair.
  • Support the Service Coordinator Team Lead with the preparation of customer quotes.

What You Will Bring:

  • Excellent verbal and written communication skills with a friendly, professional demeanor.
  • Strong organizational skills and the ability to manage multiple priorities efficiently.
  • Attention to detail and accuracy in data entry and documentation.
  • Proficiency with Microsoft Outlook and experience working with scheduling or calendar tools.
  • Working knowledge of Windward System 5 or similar enterprise service software (or willingness to learn).
  • Ability to collaborate effectively across departments and coordinate logistics.
  • Dependability and initiative in supporting team members and improving customer service workflows.
  • Prior experience in a service coordination, administrative, or dispatching role is a plus.
