As a Senior Property Administrator role, you will be managing the administrative functions for our Calgary Suburban/Industrial portfolio. You will work closely with the property management team in supporting with various tasks such as budgeting, quarterly/monthly reports and accounting duties. Dealing with tenant issues, budgeting, compliance and accounting duties. Expert accounting skills and good knowledge of the real estate industry with accounting & financial experience. You are also highly professional and friendly as we will count on you to manage tenant relations and tenant satisfaction.

RESPONSIBILITIES

  • Successfully manage all administrative tasks from accounting, tenant relations, work orders, service requests, rent and expense payments, property maintenance & vendor compliance requirements.
  • Review Lease Agreement changes including new agreements, contractual terms & conditions, etc.
  • Prepare monthly arrears reporting & tenant watch list, etc.
  • Prepare annual rental notices and midyear adjustment requirements & delivery to tenant, etc.
  • Manage procurement process from Contracts, Purchase order generation to invoice payments for both Operational and Capital projects, Landlord’s work, Tenant Inducement Allowance, etc.
  • Managing BOMA Best administrative initiatives and sustainability initiatives.
  • Working closely with tenants to welcome new tenants, resolve tenant challenges, plan tenant events, sustainability events, support regular building communications and tenant meetings.
  • Provide support and preparation of financial processes with variance analysis, monthly reports, & budget input, etc.
  • Support management of procurement with the generation of appropriate tendering documentation for Operations service agreements and capital projects and tracking of all documents.
  • Provide tenant services through problem solving complex tenant challenges and assisting with tenant move in/ out.
  • Maintain current building documentation such as as-builts, building assessment reports and measurement plans.
  • Other duties as assigned.

QUALIFICATIONS

  • 4+years of commercial property management experience (required).
  • Related post-secondary education (accounting, business, finance, and/or economics).
  • Passionate about the property management industry.
  • Ability to work in a fast paced, deadline driven environment. Ability to prepare regular ownership reports with accuracy and on-time, including variance analysis, annual budgets, reforecasts, and capital reports for Property Managers.
  • Strong decision-making capabilities to provide high-level service to tenants needs.
  • Excellent customer service skills, proactive, results-oriented, and resourcefulness.
  • Exceptional communication and interpersonal skills.
  • Proficient in property management systems such as Yardi, Construction Manager, Angus, Microsoft Office, and Power Point.
  • Highly nimble, flexible and a strong problem solver with a team-oriented mindset.
  • Must have reliable vehicle and a drivers license
