Senior Administrative Assistant, Corporate Services

Why is this role important?

The Senior Administrative Assistant is responsible for providing daily advanced administrative, clerical, and coordination support to the Office of the Vice President, Corporate Services, and ad hoc senior administrative support for the Branch Directors of Finance, Strategy and Operations, and People, Culture and Learning and Privacy and Legal Services.

What you'll do

1. Coordinates and organizes the day-to-day activities of the VP, Corporate Services including coordinating meetings, preparing meeting materials, reviewing email, triaging correspondence and ensuring calendars are up to date.

2. Organizes and maintains files and relevant documents and manages an efficient “bring forward” system.

3. Coordinates projects/branch initiatives within the division by assisting with the planning, implementation and follow-up.

4. Develops and maintains tracking system for ensuring work related milestones and timelines are met.

5. Responds to and resolves general and confidential inquiries of a non-technical nature and provides a range of administrative support including travel and accommodation arrangements, preparing/reviewing travel claims, cheque requisitions, goods receipts, and other related duties.

6. Provides administrative and coordination support to Branch Directors within the division including updating and distributing documents, drafting and distributing meeting agendas, organizing group travel, processing expense claims, creates PO requisitions, and supports the development of statement of work (SOW) as required.

7. Supports the Coordination of branch meetings and retreats. The responsibilities include the venue booking, onsite equipment, catering, accommodation and travel arrangements.

8. Assigned to other related tasks and projects as required.

What you'll bring to the table

• College diploma or equivalent experience in a specialized field.
• Minimum 5 years related administrative experience at a senior level. Ability to manage numerous priorities and requirements simultaneously.
• Proficient with Microsoft Office Suite (Word, Excel and PowerPoint), email and electronic calendar software is required. Working knowledge of ERP Unit4 and/or other CRM database systems is an asset.
• Proven ability to work in an active environment where setting priorities, strong organizational skills, attention to detail, accuracy and confidentiality are critical.
• Ability to work with minimal supervision and take ownership to address obstacles and overcome barriers by identifying possible resolution options and alternatives.
• High degree of initiative, discretion, tact, and professional demeanour.
• Strong interpersonal skills and ability to collaborate with both internal and external stakeholders.
• Excellent written and verbal communication skills and the ability to interact with a wide variety of people at all levels within the organization.
• Fluency in English is required, bilingualism in both official languages is an asset.
