About The Role
We are seeking an Administrative Assistant to provide a full range of support services to the Senior Vice President, Technology & IT Services Management and the reporting Senior Director team. Working alongside the Senior Administrative Assistant, the successful incumbent will manage calendars, coordinate meetings, prepare reports, and handle a variety of communications.
As The Newest Member Of Our Team, You’ll
- Support the Technology & IT Services Management team with various types of correspondence, calendar management, event management, and reporting
- Support with the coordination of travel arrangements, course and membership registrations for the Technology & IT Services Management team
- Ensure timely invoice and expense reporting by managing sign offs and submissions to Finance
- Support team with team in preparation for internal and external meetings including Board materials for Committee and Sponsors’ Committee meetings as directed by the Senior Administrative Assistant
- Provide administrative support with reoccurring weekly and quarterly Technology & IT Services Management team meetings including sending invites, setting agendas, circulating materials, and taking notes
- Maintain Technology & IT Service Management contacts, and correspondence through ServiceNow
- Interact with our strategic business partners and act as a day-to-day conduit both within the team and the Senior Leadership as directed
- Perform other related administrative tasks as required
To Succeed, You Bring
- Over 5 years of experience providing support to leaders within a fast-paced environment
- Post-Secondary education ideally in either Administration, Information Technology or the equivalent combination of education and experience
- High proficiency in Microsoft Suite, experience with Power Automate is an asset
- Tech savviness with experience using various business software’s and tools
- Excellent oral and written communication skills
- Skilled in critical thinking, and decision-making with a proactive approach to problem solving
- Experience supporting Information Technology teams is an asset
- Experience working with financial institutions or pension funds is an asset
