Job Summary:

Essential Responsibilities:
  1. Upholds Kaiser Permanente's Policies and Procedures, Principles of Responsibilities, and applicable state, federal, and local laws.
  2. Arranges for special needs as ordered by the physician on the surgery scheduling form (e.g., blood, equipment, techs).
  3. Arranges case priority according to established guidelines for each OR block (e.g., MD assist case, children and elderly, general anesthesia, etc.).
  4. Notifies various departments of scheduling (e.g., Insurance, Pathology, Radiology, Business Office, and others).
  5. Prints the daily operating room schedule and other schedules as needed; distributes appropriately.
  6. Receives cancellations from patients and physicians and cancels all preoperative appointments.
  7. Follows cancellation procedures for notifying physicians and departments.
  8. Schedules cases to fill cancellations for maximum OR utilization.
  9. Contacts physicians, departments, and outside hospitals/physicians performing surgeries at Kaiser to obtain and provide pertinent scheduling information.
  10. Schedules patients for pre-operative appointments, including history and physical, lab tests, pre-op education, and preadmission interviews, using CARE and INFORM systems.
  11. Schedules medical clearance, EKG, blood type and crossmatch, physical therapy, special tests, and pre-surgery consults as needed.
  12. Negotiates surgery dates and appointments with patients to ensure timely completion.
  13. Provides patients with dietary instructions and preparations for tests.
  14. Prints and mails confirmation letters and instructions to patients promptly.
  15. One day prior to surgery, informs patients of surgery time, check-in details, location, and NPO status.
  16. Contacts patients who miss pre-op appointments or tests and reschedules them.
  17. Prepares statistical reports for the Operating Room Committee, Administration, and Surgical Departments.
  18. Performs other duties as required.
Equipment Utilized:

IBM-PC, INFORM/CARE, Word-processing, Email, Typewriter, Omnifax, Duplicating Machine, Calculator. Assumes other activities and responsibilities as directed.

Basic Qualifications:
Experience:

Typing 25 wpm, successfully passing the Basic Computer Literacy Assessment and Medical Terminology Test are required. Good telephone skills and experience. Demonstrated ability to maintain positive relationships and courteous interactions with members, co-workers, and the public.

Education:

Completion of a Medical Terminology course offered by an accredited institution.
