The Scheduling Coordinator is responsible for receiving, recording and reporting on time and attendance information including data entry into the local systems for all teams. The position will ensure the optimum assignment of staff to cover shifts in accordance with the collective agreement, relevant guidelines, and operational requirements.

- Salary: $57,919.15 - $69,159.48
What will you do?
- On a daily basis and throughout the day, retrieves calls from the internal absence line, forwards the messages as required to the necessary departments, and prepares the leave management process for manager approval.
- Maintains staff scheduling and related information in systems including entering all exceptions, shift changes etc. through ongoing communication with employees and management.
- Exports and posts team schedules in accordance with the collective agreements.
- Confirms scheduling exceptions and hours of work with employees and managers as required.
- Assigns and fills available shifts with appropriate manager assistance as required.
- Locating and calling in staff in accordance with applicable collective agreement provisions taking into consideration employee skill sets and team needs.
- Attends to requests for relief coverage.
- Creates and develops scheduling reports, calendars, and absenteeism reports in HRIS as needed.
- Produces and generates confidential statistical information related to the scheduling and human resources functions
- Verifies employee hours for payroll processing and reconciling timesheets including following up on anomalies with Human Resources, Payroll, staff, and management as required.
- Maintains and updates staffing files and records.
- Responds to employee inquiries regarding their schedule, hours and banks and investigates discrepancies.
- Works with Human Resources and Payroll personnel to adjust where appropriate.
- Advise and educate Ontario Health atHome staff relating to scheduling systems.
- Implements new procedures and controls deemed necessary by management.
- Participates on internal and/or external committees as required.
- Maintains high levels of confidentiality and discretion when working with confidential organizational, financial, and human resources data, including details about collective bargaining strategies and the organization's interests in labour relations and employment.

What must you have?
- Post-secondary education in office, business administration or a relevant field.
- Minimum two (2) years’ experience developing and maintaining employee schedules.
- Knowledge of time and attendance systems, as well as other resources/tools used in Human Resources information management.
- Experience working with a collective agreement.
- Experience with fully integrated HRIS systems (Scheduling, HR, and Payroll).
- Experience in maintaining confidential employee files.
- Strong data entry skills and ability to work in MS Word, Outlook, Excel, and Intranet.
- We have a mandatory COVID-19 vaccination policy. As a condition of employment, all employees are required to submit proof of COVID-19 vaccination status prior to start date.
