Scheduling Coordinator

Health Services – Peel Regional Paramedic Services

Status: 1 Contract Full Time (24 Months)

Salary Range: $69,805 – $87,255 per annum (plus comprehensive benefits, where applicable)

Work Mode: Hybrid

Location: Fernforest Paramedic Reporting Station, 1600 Bovaird Drive E, Brampton

Hours of Work: 35 hours per week (2:00PM to 1:00AM) – 11-hour shifts based on rotation, Monday to Sunday

Who we are:

Peel Regional Paramedic Services provides expert and reliable pre-hospital medical care to residents and visitors of Peel, offering compassionate treatment while prioritizing the well-being of our community. Our dedicated Operations Team work around the clock with key partners, including local police, fire departments, hospitals, and the Mississauga Central Ambulance Communication Centre, to ensure the 911 system operates seamlessly 24/7. In addition to emergency services, we are committed to enhancing community health through various outreach programs and initiatives.

The Role:

As the Scheduling Coordinator, you will be responsible for maintaining appropriate staffing levels to support daily coverage requirement to Paramedic Services through consistent application of process work and analysis. You will also be accountable for the daily scheduling of approximately 700 Paramedics, 30 operational Superintendents/Commanders, and 80 Logistics personnel.

What you will do in this role:

  • Booking daily staffing coverage, the coordination of absences and related backfilling, and medium and short-term coverage forecasting in order to maintain maximum Paramedic coverage in the Region
  • Follow the articles of the Collective Agreement, Process Maps, and Standard Operating Procedures in performing all tasks
  • Coordinate schedules of Paramedics, Superintendents, and Logistics staff
  • Process availability sheets of part time and temporary Paramedics and provide schedules within specified deadlines
  • Assign ad hoc shifts based on part time/temporary employee availability as required
  • Provide monthly compliance reports and analyse data based on reports within specified deadlines
  • Backfill longer term vacancies with temporary assignments within specified timeframes and parameters
  • Book overtime shifts
  • Collect and process time off and shift change requests
  • Maintain position management attributes for all Paramedic employees
  • Update the timekeeping database to ensure balanced coverage, accurate historical records for data and trends, and for accurate payroll preparation
  • Maintain the daily schedules and duty rosters noting the work location of all staff
  • Coordinate new hire mentorship, Paramedic Continuing Service Education, Advanced Care Paramedic Training, court attendance, and meetings for all Peel Regional Paramedic Services (PRPS)
  • Work with partners to coordinate return to work, modified duties, backfill and any alternate arrangements or special / emergency events
  • Provide guidance, expertise, and input with decision making

What the role requires

  • Minimum grade 12 education or equivalent
  • A minimum of two years of scheduling experience within a large, dynamic environment
  • Able to follow process maps, understand the Collective Agreement, and Standard Operating Procedures

Skills/Abilities:

  • Strong knowledge of Microsoft Excel, Teams, Outlook, and Visio
  • Ability to work with Scheduling Software including JBS
  • Polished communication skills
  • Excellent organizational and time management skill
  • Strong planning and analytical skills
  • Demonstrated ability to work effectively both independently and as a member of a team
  • Able to prioritize, make decisions and meet deadlines in a fast paced and ever-changing work environment
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias

Work Mode & Job Location:

In this role, you’ll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is expected, with additional in-person presence as operational needs evolve. This arrangement allows for a blend of in person and hybrid work that adapts to support both organizational priorities and employee flexibility and is subject to change over time.

It's important to note that your off-site work location must be within the province of Ontario.
