Job summary

Contemporary Office Interiors (COI) is seeking a Sales Coordinator to support the sales team and streamline the order process from inquiry to fulfillment. You will engage with internal and external customers to gather requirements, prepare quotes, and ensure proposals align with company guidelines.

This full-time, on-site role offers growth opportunities within a team-driven environment and a culture focused on customer satisfaction.

Qualifications

  • Experience in project coordination, customer service or a technical administrative role supporting interior design or a sales team.
  • Background in furniture dealership is preferred.
  • LEED certification or pursuing it is considered an asset.
  • Strong administrative and organizational skills are essential.

Responsibilities

  • Attend sales, team, and customer meetings as required.
  • Assist with development of proposals and RFPs and prepare sales presentation materials.
  • Maintain documentation standards for all account activities and ensure Customer First processes are followed.
  • Collaborate with team to achieve annual sales goals and business objectives.
  • Maintain high service and accuracy in daily duties.
  • Assist with pricing, product research, sourcing, and technical order information.
  • Prepare quotations and present to customers with required documentation.
  • Provide clarifications to customers regarding quotations or orders.
  • Coordinate installation requirements and order-related customer communications.
  • Arrange loaner products for customer trials and manage service quotes.
  • Resolve acknowledgement discrepancies with vendors and ensure Customer First standards.

Job description

THE ROLE

The Sales Coordinator works closely with and supports the sales process in meeting annual sales goals by assisting the sales team with their customer requirements for products and services prior to creation of the order package.

This role requires regular communication with both internal and external customers regarding order/project product and service requirements; ensuring the orders are in line with company guidelines and maintain integrity and brand image.

This is a full-time permanent position, working out of our impeccably designed and furnished office. You'll mostly work from Monday to Friday, with irregular or extended hours as projects demand. THE DAY TO DAY

The successful applicant will also be responsible for the following:

  • Attend sales, team, and customer meetings as required
  • Assist sales with the development of the proposal/RFP and print for sales presentation to customer
  • Ensure documentation standards are maintained for all account activities; ensures Customer First dealership process and procedures are followed
  • Work cooperatively with team members to achieve annual sales goals and business objectives
  • Maintain a high level of service and accuracy within assigned duties
  • Assist sales and other project team members in pricing, product research, sourcing new products and technical order information i.e. C.O.M. requirements, custom requirements, etc.
  • Assist sales with the preparation of the quotation, reviews the quote and prints it for sales presentation to customer
  • Provide spec checks for sales representatives on ancillary quotations prior to presentation to client
  • Communicate with internal and external customers regarding order requirements and provides additional support throughout the front end of the order fulfillment process, as required
  • Develop ancillary product specifications; produces detailed, accurate and professional looking quotes through own effort or in conjunction with dealership personnel (designers, project managers, etc.) and presents these to the customer in a timely manner
  • Initiate service quotes for deliveries, small orders and major orders
  • Under the direction of Sales, applies costs and sell amounts for all products and services, based on contract pricing, gross margin guidelines and established service pricing
  • Respond to customer requests and determines scope of work; defines installation requirements based on customer's request
  • Arrange loaner product for customer trial
  • Provide clarifications and answers for customer's questions regarding quotation or order issues
  • Assist with resolving any acknowledgement discrepancies with vendor
  • Ensure Customer First standards of performance are met for all customer work activities
  • Provide professional customer interface and customer relations throughout project
YOU BRING THE FOLLOWING

You are focused on the customer and have an attitude that shows a strong commitment to customer satisfaction. Your experience in project coordination, customer service or a technical administrative role supporting interior design or a sales team has already created a solid foundation for this role. Ideally, you will have worked in a furniture dealership and understand the industry. Being LEED certified or working towards it is considered an asset. Strong administrative and organizational skills are essential to the success of this role.

These are complex sales, where you'll manage competing priorities, multiple internal and external stakeholders, and varying deliverables. Your experience in a similarly complex sales environment will be crucial for your success here. The number of projects you'll have on the go at any given time will vary depending on their size and scope.
