Job summary

Rodd Hotels & Resorts is seeking a highly organized Sales Coordinator for a one-year maternity leave contract to join our Sales team. This role coordinates group bookings and provides admin support from initial inquiry through arrival.

The successful candidate will be a key client contact, handling inquiries by phone and email, and coordinating sport team, corporate, and LCR bookings in the CRM/PM systems, with data entry in Salesforce and Maestro.

Qualifications

• Post-secondary education in Business, Hospitality, or related field is asset; equivalent experience considered.

Responsibilities

• Serve as primary contact for clients, handling group booking inquiries by phone and email.
• Coordinate sport team, corporate, and LCR bookings, including quotes and group bookings in CRM/PM systems.
• Enter room lists into the property management system.
• Maintain timely communication with clients, Sales Managers, and properties throughout the booking process.
• Enter and maintain client and booking data in Salesforce and Maestro.
• Gather data to support sales forecasting and reporting.
• Prepare, update, and process agreements, contracts, proposals, and other sales documents.
• Prepare and run reports as requested.
• Provide administrative support to the Sales team, including scanning, printing, mailing, filing, and organizing documents.
• Assist with planning and coordination of Sales events.

Job description

Rodd Hotels & Resorts is seeking a highly organized and service-oriented Sales Coordinator to join our Sales team for one-year maternity leave contract.

This role is responsible for coordinating group bookings while providing administrative and operational support to the Sales Team. The successful candidate will serve as a key point of contact for clients and our properties, helping ensure group bookings are handled efficiently and professionally from initial inquiry through arrival.

Salary: $40,000 - $44,000 per year

This is a 1-year maternity leave coverage contract.

KEY RESPONSIBILITIES AND DUTIES:

• Serve as a key point of contact for clients, responding to new group booking inquiries by phone and email and directing inquiries to the appropriate Sales Manager
• Coordinate all aspects of sport team bookings, Corporate and LCRs bookings including responding to availability requests, quoting rates, and booking groups in the CRM and property management systems
• Coordinate and enter room lists into the property management system
• Maintain clear and timely communication with clients, Sales Managers, and properties throughout the booking process
• Respond to space and availability inquiries in a timely manner when the Sales Manager is unavailableEnter and maintain accurate client and booking information in Salesforce and Maestro
• Gather and prepare data to support sales forecasting and reporting
• Prepare, update, and process agreements, contracts, proposals, and other sales documents
• Prepare and run reports as requested
• Provide administrative support to the Sales team, including scanning, printing, mailing, filing, and organizing documents
• Assist with the planning and coordination of Sales events

SKILLS, ABILITIES, AND QUALIFICATIONS:

• Post-secondary education in Business, Hospitality, or a related field is considered an asset; an equivalent combination of education and experience will also be considered
• Minimum of two years of experience in the hotel or hospitality industry
• Previous reservations and/or sales experience are considered an asset
• Experience with Salesforce and Maestro is considered an asset
• Strong organizational skills with ability to prioritize tasks, projects, and deadlines
• Strong understanding of hotel operations, customer service skills, and the ability to communicate professionally with clients and internal teams
• Proficiency in Microsoft Office, including Word, Excel, SharePoint, and Outlook

This is a 1-year maternity leave coverage contract.
