Job summary

Alberta AG Centre in Alberta is seeking a Sales Administrator to support Territory and Regional Sales Managers across six dealerships. You will keep sales information organized and ensure deals move smoothly through the administrative process.

This role requires a highly organized, digitally confident professional who takes ownership and works across DMS/CRM systems, SharePoint, Excel, and other business tools to maintain accurate records and effective follow-up.

Qualifications

  • Experience with CDK/IntelliDealer, IronHQ or similar dealership software.
  • Experience creating SOPs, checklists, process documentation, or digital workflows.
  • Strong knowledge of Microsoft 365 (Outlook, Excel, Word, SharePoint, Teams).
  • Ability to maintain accurate records in structured digital systems (DMS/CRM/ERP).

Responsibilities

  • Maintain accurate sales files, customer and equipment records, deal documentation, registrations, warranties, payments, trades, and delivery requirements.
  • Coordinate administrative requirements throughout the sales process, ensuring deals are complete and ready for invoicing, funding, delivery, or handoff.
  • Monitor outstanding items and follow up with Territory and Regional Sales Managers to resolve missing information.
  • Maintain organized digital records across DMS/CRM systems, SharePoint, Excel, and other tools.
  • Provide administrative support including correspondence, scheduling, travel arrangements, and event logistics.

Role Overview

Reporting to the Sales Controller, the Sales Administrator supports the Territory and Regional Sales Managers across Alberta AG Centre’s six Alberta dealerships.

This centralized role keeps sales information organized, ensures deals move efficiently through the administrative process, and provides visibility into outstanding documentation and follow-up.

The Sales Administrator is a highly organized, digitally confident professional who takes ownership, resolves problems independently, and is comfortable working across multiple systems.

Core Responsibilities
  • Maintain accurate sales files, customer and equipment records, deal documentation, registrations, warranties, payments, trades, and delivery requirements.
  • Coordinate administrative requirements throughout the sales process, ensuring deals are complete and ready for invoicing, funding, delivery, or handoff.
  • Monitor outstanding items and proactively follow up with Territory Managers and Regional Sales Managers to resolve missing or inconsistent information.
  • Maintain organized digital records across DMS/CRM systems, SharePoint, Excel, and other business systems.
  • Provide administrative support including correspondence, scheduling, meeting coordination, travel arrangements, and event logistics.
  • Support sales meetings and track resulting action items and follow-up.
  • Flag issues, delays, or missing information early enough to prevent downstream impact.
Process & Digital Improvement
  • Identify recurring administrative issues, information gaps, and opportunities to improve efficiency and consistency.
  • Create and maintain SOPs, checklists, templates, and process documentation.
  • Look for practical ways to improve information management and workflows using Microsoft 365 and digital tools.
  • Use AI and other emerging technology appropriately to improve productivity and day-to-day work.
Confidentiality & Escalation
  • Handle customer, financial, employee, and business information with discretion and confidentiality.
  • Maintain professional communication with Sales, Finance, Management, and other internal contacts.
  • Escalate issues outside role scope or authority to the Sales Controller in a timely manner.

These core responsibilities do not limit other duties that may be assigned to support team and business objectives in keeping with the nature of the role, including shifting priorities and future state business evolution.

Work & Physical Requirements
  • Valid Class 5 driver’s licence
  • Occasional travel between six Alberta dealerships, generally day trips, with approximately semi-annual overnight travel for trade shows, team meetings, or other business needs.
  • Able to sit, stand, or walk for extended periods.
  • Able to lift up to 10 pounds, as required.
Competencies & Qualifications
  • Success in this role means Sales has the right information at the right time and deals do not get stuck waiting on administrative follow-up. This role requires:
  • Experience with CDK/IntelliDealer, IronHQ, or another dealership DMS/CRM/ERP.
  • Experience in agriculture, equipment, automotive, sales administration, or another document-heavy environment.
  • Experience creating SOPs, checklists, process documentation, or digital workflows.
  • Practical experience using AI tools to improve productivity.
  • Basic understanding of invoices, payments, deposits, coding, or reconciliation processes.
  • Strong working knowledge of Microsoft 365, particularly Outlook, Excel, Word, SharePoint, and Teams.
  • Experience maintaining accurate records and information in structured digital systems such as a DMS, CRM, ERP, or SharePoint.
  • Strong organization, attention to detail, ownership, and follow-through.
  • Ability to manage multiple priorities in a deadline-driven, seasonal environment.
  • Clear, concise, and professional written and verbal communication skills.
  • Ability to identify problems and follow through independently rather than make assumptions, escalating judgment calls when needed.
