Alberta AG Centre is hiring a Service Advisor who serves as the first point of contact for customers, vendors, and visitors at the Dunmore branch. This role ensures a smooth service experience from intake to completion by coordinating with technicians, providing timely updates, and helping maximize equipment uptime.

Qualifications

  • High school diploma or equivalent required; post-secondary education is an asset.
  • Experience in dealership or agricultural industry is an asset.
  • Experience with CDK Intellidealer is an asset; willingness to learn new software.
  • Strong MS Office skills; able to multitask in a fast-paced environment.
  • Excellent written and verbal communication; able to travel occasionally.

Responsibilities

  • Greet guests and provide professional reception; direct inquiries to the appropriate team.
  • Coordinate service work orders with technicians and manage client updates.
  • Assist with basic parts lookup and support warranty and billing processes.
  • Maintain customer files and assist with branch communications and supplies.

Service Operations and Warranty Manager for technical and service-process guidance, with day-to-day operational support from the Dunmore Service Manager.

Hours

Full-time, 8-hours w/ 1-hour unpaid lunch
Seasonal overtime and on-call as required

Role Overview

The Service Advisor is the first point of contact for customers, vendors, and visitors at the Dunmore branch. This role provides front reception support, delivers professional customer service, assists with basic parts look-up, and supports overall branch operations while serving as the main link between customers and the Service department.

The role ensures a professional, efficient service experience from intake to completion by coordinating service needs with technicians, providing clear updates and recommendations, and helping maximize equipment uptime in line with Alberta AG Centre’s commitment to exceptional customer service.

Core Responsibilities
Customer Service & Reception
  • Provide a professional first point of contact for customers, vendors, and visitors.
  • Greet guests, answer calls, respond to inquiries, and direct individuals to the appropriate team member.
  • Assist customers and internal staff with basic parts look-up support and refer complex inquiries to the Parts department.
  • Communicate with customers regarding service requirements, work progress, timelines, completion, and payment.
  • Support customer follow-up after service work, including reminders, status updates, and directing questions appropriately.
  • Maintain an organized, professional, and welcoming customer-facing reception area.
Service Administration & Coordination
  • Create, manage, and process internal and external service work orders accurately and efficiently.
  • Coordinate with Service Technicians regarding work orders, job status, scheduling, and timecard completion.
  • Coordinate equipment movement and logistics between locations and for customer units, as required.
  • Work with Service Managers and Technicians to support efficient operations and customer satisfaction.
  • Process Technician daily timecards to support accurate and timely payroll.
  • Maintain service truck records, including scheduled maintenance and service recall documentation.
Billing, Warranty & Records
  • Prepare warranty claim documentation and supporting materials for review, submission, and follow-up.
  • Maintain Accounts Receivable and Work-In-Progress (WIP), including billing, payment collection, receipts, and invoice processing.
  • Maintain accurate and up-to-date customer files in both paper and digital formats.
Branch & Administrative Support
  • Provide support to Service, Parts, Administration, and Management teams during peak periods, staff absences, or high-volume operational needs.
  • Order and maintain office supplies and shared branch resources.
  • Assist with branch communications, including notices, signage, announcements, and other customer- or employee-facing information.
  • Perform general office duties, as required.
  • Able to sit, stand, or walk for extended periods.
  • Able to lift up to 10 pounds, as required.
  • Comfortable working in a shop or warehouse environment and wearing required PPE.

Competencies & Qualifications
  • This role is ideal for someone who is approachable, organized, and confident supporting customers and teammates in a busy branch environment.
  • High school diploma or equivalent required; post-secondary education in Business Administration or a related field is an asset.
  • Additional training in administration, customer service, or a technical discipline is an asset.
  • Dealership or agricultural industry experience is an asset.
  • Experience with CDK Intellidealer is an asset; willingness to learn new software systems is required.
  • Working knowledge of Microsoft Office, including Word, Excel, and Outlook.
  • Strong multitasking, prioritization, and time-management skills, with the ability to work independently in a fast-paced environment.
  • Excellent attention to detail and ability to meet deadlines.
  • Clear, concise, and professional written and verbal communication skills.
  • Able to travel occasionally to other company locations, as required.
