Job summary

Partners Properties in Okotoks is seeking a Service Coordinator for the residential portfolio. You will manage maintenance requests from intake to close-out, dispatch technicians, coordinate after-hours on-call, and ensure documentation in Yardi.

This full-time role requires strong communication, triage, vendor coordination, and thorough record-keeping; on-site at Head Office in Okotoks with a supportive team.

Qualifications

• Minimum 3 years of experience in customer service, administration or service coordination.
• Proficiency with Yardi Voyager and its maintenance modules.
• Proficiency with Microsoft 365 tools.
• Strong documentation discipline with accurate record keeping.
• Excellent prioritization and dispatch coordination skills, staying calm under pressure.
• Strong vendor coordination and follow-up skills.

Responsibilities

• Receive maintenance requests via Yardi, email, phone and resident portal, applying triage standards to set priorities.
• Provide first response to residents during business hours and update on work-order status through resolution.
• Dispatch work to technicians or vendors, schedule access and appointments, set daily priorities for the team.
• Coordinate vendor scheduling and issue purchase orders with written authorization.
• Handle maintenance concerns professionally, escalating to the Manager when appropriate.
• Close out work orders in Yardi with complete documentation and maintain records.
• Track preventive maintenance and provide regular reports to the Manager.
• Use Yardi data and feedback to improve SOPs and service targets.
