Job description

As a key member of Jacobs & Thompson, the Receptionist/Accounting Clerk will be the first point of contact for the company. The Receptionist/Accounting Clerk's duties and responsibilities include welcoming guests, communicating effectively over the phone, and executing administrative tasks to high standards while maintaining professionalism.

JOB DESCRIPTION (FUNCTIONS & RESPONSIBILITIES)
  • Answer phones in a professional manner
  • Greet and direct visitors cordially
  • Validate and adjust inventory receipts in the ERP system as needed
  • Enter payment vouchers accurately and efficiently
  • Match invoices to cheques when issued
  • Enter sales invoices accurately and efficiently
  • Record journal entries accurately and efficiently
  • Provide backup for credit card payments and Remote Deposit Capture deposits
  • Scan relevant documents promptly (checks, wire payments, journal entries, etc.)
  • Prepare cheques and invoices for mailing using the automated mailing machine
  • Perform other duties related to the Accounting Department as necessary
REQUIRED SKILLS
  • Experience as a Receptionist, Front Office Representative, or similar customer-facing role
  • Strong written and verbal communication skills
  • Professional appearance and attitude
  • Resourceful and proactive in resolving issues
  • Excellent organizational skills
  • Ability to multitask and prioritize effectively
  • Proficiency in Microsoft Office, especially Excel
