Job summary

Pattison ID in Ontario seeks an aspiring Project Coordinator to support documentation, tracking, and procurement for signage projects.

You will work with the project management team to maintain logs, liaise with subcontractors, and help prepare status reports while developing your career in a large North American signage company.

Qualifications

  • 0–2 years of administrative/coordination experience.
  • Experience in a fast-paced, deadline-driven environment.
  • Proficiency in Microsoft Office Suite and document management systems.
  • Experience with project management software is a plus.

Responsibilities

  • Gather, organize, and maintain project documents, including milestones, SOWs, site surveys, drawings and permits.
  • Maintain and update documents submitted or pending from subcontractors, permitting agencies, or clients.
  • Assist with general administrative tasks to support the project management team.
  • Set up and maintain projects in project management systems.
  • Maintain up-to-date project tracking logs and dashboards.
  • Prepare purchase requests and assist with issuing purchase orders to suppliers and contractors under the direction of the Project Manager.
  • Assist Project Managers in preparing status report updates for customers.
  • Support project closeout processes by organizing and filing final documentation.
  • Perform other related duties as assigned.

Essential Functions / Key Responsibilities
Documentation & Administration
  • Gather, organize, and maintain project documentation including milestone dates, statements of work (SOWs), site surveys, drawings, and permits.
  • Maintain and update documents submitted or pending from subcontractors, permitting agencies, or clients.
  • Assist with general administrative tasks to support the project management team.
Systems & Tracking
  • Set up and maintain projects in project management systems as directed by the Project Manager.
  • Maintain up-to-date project tracking logs and dashboards.
Purchase & Procurement Support
  • Prepare purchase requests and assist with issuing purchase orders to suppliers and contractors under the direction of the Project Manager.
Reporting & Closeout Support
  • Assist Project Managers in preparing status report updates to be shared with customers.
  • Support project closeout processes by organizing and filing final documentation packages.
  • Perform other related duties as assigned.
Qualifications Required
EDUCATION
  • Post-secondary diploma or degree in Business Administration, Project Management, or a related field preferred.
  • PMP certification or working towards is considered an asset.
Experience Required
  • 0–2 years of experience in an administrative, coordination, or office support role.
  • Experience working in a fast-paced, deadline-driven environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management systems.
  • Experience with project management software or tracking tools is an asset.

  • Specific vision abilities required include close vision for extended periods of screen use.
  • Must be able to communicate effectively verbally and in writing on a regular basis.
Salary
  • $50,000 to $55,000
  • The estimated range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications and other job-related reasons.
