KLS Earthworks & Environmental is hiring a Project Coordinator to support our growing team. Reporting to the Project Manager, the ideal candidate will bring 2-4 years of project experience and provide critical organizational and administrative support across multiple projects. This role requires someone who can adapt to shifting priorities, manage project documentation, and communicate effectively with both internal teams and external partners.
Key Responsibilities
- Develop andmaintain athorough understandingof project scope, execution plans, and specifications, including allplanchanges.
- Create andmaintaincomprehensive project documentation, including plans, reports, and records.
- Ensure all required permits and licenses are obtained and adhered to through the project life.
- Assist withproject procurement, ensuring materials and services are sourced and tracked effectively.
- Work with Project Managers, Superintendent andSupervisorsto assess and scheduleresource requirements.
- Assist the Project Manager with maintainingsubcontracts and purchase orders andreviewingvendor invoicesfor accuracy.
- Develop and maintainpositive working relationshipswith subcontractors, suppliers, and clients.
- Assist the Project Manager withtheRequest for Information (RFI)process, as well asshop drawingsandchange ordersThismay includepricing, negotiating, processing, and evaluating cost and schedule impacts.
- Monitor project progress and provide regular updates to theProject Manager, including cost forecasts and schedule adjustments.
- Track and reconcile quantities and costsdaily
- Assist theProject Managerwith the development, maintenance, and communication of project schedules.
- Reconciletime and materials (T&M) workand issue change orders when required.
- Assist withprogress billing, ensuring client invoices align with work completed and resolving any discrepancies.
- Support project closeout by compiling and archiving documentation, preparingmaintenance and warranty manuals, and tracking deficiencies andwarranty work.
Skills & Qualifications
- Proven experience as aProject Coordinatoror in asimilar project support role.
- Civil Engineering Technologist diplomaor related education (2+ years) considered an asset.
- Proficient withMicrosoft ProjectandMicrosoft Office Suite(Word, Excel, Outlook).
- Experience withHeavyBid Estimating Softwareis a strong asset.
- 3+ years of project administration or coordination experience, ideally incivil construction.
- Ability toread and interpret contracts, construction drawings, and technical reports.
- Strongorganizational skillswith the ability to prioritize andmulti-taskin a fast-paced environment.
- Excellentcommunication and teamwork skillswith the ability to work closely with field teams, office staff, clients, and vendors.
