Position Overview

We are seeking a self-driven, detail-oriented, and highly organized Production Coordinator to join our dynamic team. This role is critical to the seamless execution of our projects, from contract initiation to final installation. The ideal candidate is a creative problem-solver who thrives in a fast-paced environment, communicates effectively across departments and stakeholder groups, and can independently manage timelines, materials, and documentation to ensure operational efficiency.

Key Responsibilities

  • Project Coordination & Scheduling
  • Coordinate all phases of the production cycle, including pre-sales, post-sales, fabrication, and installation.
  • Collaborate with sales, design, production, and installation teams to set, update, and communicate project schedules.
  • Maintain and update the company’s master production schedule, including projected billing milestones.
  • Client & Contract Management
  • Analyze, submit, and track client contracts and project documentation.
  • Manage ongoing communication with clients regarding project deliverables, schedule updates, and change requests.
  • Generate and process change orders accurately and promptly, ensuring all updates are reflected in schedules and billing.
  • Coordinate material procurement based on project specifications.
  • Work closely with vendors to ensure timely delivery of materials and address any supply chain disruptions.
  • Track material usage and stock against production timelines and factory requirements.
  • Create invoices and ensure timely submission to clients.
  • Coordinate with clients and internal finance teams to monitor payment schedules and follow up on outstanding accounts.
  • Prepare and submit required project documentation for monthly billing cycles and project closeouts.
  • Process Improvement & Documentation
  • Develop and refine internal systems to improve interdepartmental coordination and workflow transparency.
  • Standardize and maintain records, templates, and tools for production and project tracking.
  • Identify and implement process improvements to enhance productivity and reduce errors or delays.

Qualifications & Skills

  • 3–5 years of experience in project coordination, production planning, or operations (preferably in construction, manufacturing, or custom fabrication).
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent interpersonal and communication skills, with the ability to work effectively with diverse teams and external partners.
  • Proficient in Microsoft Office Suite, project management software (e.g., Asana, Monday.com, or equivalent), and ERP systems.
  • Strong attention to detail and a proactive approach to identifying and solving problems.
  • Comfortable working in a fast-paced, evolving environment with minimal supervision.
  • Knowledge of countertop fabrication or construction processes is a strong asset.
