The Payroll Specialist is responsible for the accurate and compliant processing of payroll, maintaining employee payroll records, ensuring compliance with tax legislation and employment standards, and providing high-quality support to employees and internal stakeholders. This position will support a variety of portfolios including our Regency portfolio. This role requires strong attention to detail, advanced payroll expertise, and the ability to work effectively under tight deadlines.
Prepare, validate, and process payroll for all salaried, hourly, unionized, and non-unionized employees.
Review submitted timesheets, verify overtime calculations, premiums where applicable, bonus payments, salary increases, retroactive adjustments, and other recurring or one-time payroll changes.
Ensure timesheets are coded with the appropriate cost codes in accordance with project budgets.
Ensure accurate calculation of statutory and non-statutory deductions as well as the proper application of taxable benefits in accordance with provincial tax regulations.
Prepare and submit Records of Employment (ROEs) within regulatory deadlines and in accordance with company policies and procedures.
Reconcile payroll discrepancies and resolve issues in a timely manner.
Ensure payroll practices comply with federal and provincial legislation and regulations.
Identify potential compliance issues, elevate them to the Payroll Manager, and recommend solutions and/or alternatives to address concerns.
Prepare and submit statutory remittances and government filings.
Support year-end activities, including the preparation of T4s, RL-1 slips, and other required reports.
Document internal processes while ensuring compliance with company policies.
Ensure internal control measures are applied to meet confidentiality standards established under Quebec’s Law 25.
Respond to employee and/or internal stakeholder inquiries in a professional and timely manner, including:
Gross-to-net payroll calculations, deductions, and taxable benefits.
Leave balances (vacation, sick leave, personal days) and statutory holiday entitlements in accordance with company policies.
Maintain a high level of confidentiality and professionalism.
Ensure employee records are consistent and compliant across HR, payroll, and time management systems.
Participate in system updates, testing activities, and process improvement initiatives.
Generate payroll reports for HR, Finance, and Management teams as required.
Diploma of College Studies (DEC) in Accounting, Human Resources, or a related field.
Minimum of 4 years of payroll processing experience.
Payroll Compliance Practitioner (PCP) certification from the National Payroll Institute, or currently pursuing certification.
Experience with payroll and/or HRIS systems such as Nethris, Employer D, ADP, Workday, Dayforce, or UKG.
Bilingualism in English/French is a strong asset
Strong knowledge of payroll legislation and taxation requirements.
Proficiency with payroll software, HRIS platforms, and time-tracking systems.
Advanced Excel skills and the ability to analyze payroll data.
Strong attention to detail and accuracy.
Excellent communication skills and a high level of discretion and confidentiality.
