Job summary

Job description

Southbridge Health Care LP owns and operates several long‑term care and retirement homes throughout many urban and rural areas of Ontario. We are currently seeking a full‑time Payroll Processing Manager to oversee and execute full‑cycle payroll operations within a Long‑Term Care Home environment. This role leads a team of Payroll Analysts while remaining hands‑on in payroll processing to ensure accuracy, timeliness, and compliance with Canadian payroll legislation and sector‑specific requirements. The Manager plays a critical role during payroll “commit” periods, providing direct support to validate data, resolve issues, and ensure successful payroll completion in a high‑volume, unionized healthcare setting.

This role is eligible for a hybrid work schedule, with 2‑3 days per week remote. The position requires reliable internet access and the ability to participate in video calls and team collaboration tools. Occasional travel to long‑term care homes or the main office may be required for meetings or training. Standard office hours apply, with some flexibility depending on project needs.

Responsibilities
  • Oversee and perform end‑to‑end payroll processing for hourly and salaried employees, including nursing, personal support workers (PSWs), and administrative OOS staff.
  • Lead, mentor, and manage a team of Payroll Analysts, including workload distribution, training, and performance management.
  • Audit transactions such as hires, terminations, shift premiums, overtime, retroactive pay adjustments, and statutory holiday pay.
  • Ensure compliance with Canadian payroll legislation and regulations, including CRA requirements, Employment Standards Acts (ESA), and applicable provincial legislation.
  • Act as escalation point for complex payroll issues, including grievances, discrepancies, and audit findings.
  • Provide hands‑on leadership during payroll commit days, including system validation, balancing, reconciliation, and issue resolution under tight deadlines.
  • Collaborate with HR, Finance, Scheduling, and Operations to ensure accurate data integration (e.g., time and attendance systems).
  • Oversee statutory remittances (CPP, EI, income tax), year‑end processes (T4s, ROEs), and government reporting.
  • Maintain strong internal controls and support internal/external audits, including compliance with healthcare funding and reporting requirements.
  • Identify and implement process improvements to enhance payroll accuracy, efficiency, and compliance.
  • Ensure payroll practices and configuration align with the CBAs.
Qualifications
  • Post‑secondary education in Accounting, Finance, Human Resources, or a related field.
  • PCP (Payroll Compliance Practitioner) designation required; PLP considered an asset.
  • 5+ years of progressive payroll experience, including at least 2 years in a leadership role.
  • Experience in healthcare or Long‑Term Care, preferably in a unionized environment.
  • Strong knowledge of Canadian payroll legislation, CRA requirements, ESA, and provincial regulations.
  • Experience with payroll and timekeeping systems (e.g., Ceridian Dayforce, ADP, or similar platforms).
  • Proven ability to manage high‑volume, complex payroll cycles with strict deadlines.
  • Strong analytical, problem‑solving, and organizational skills.
  • Leadership and team development.
  • Attention to detail and payroll accuracy.
  • Knowledge of union agreements and healthcare pay structures an asset.
  • Collaboration and stakeholder communication.
