Position Overview

The People and Culture Coordinator supports the Manager, People & Culture with a range of human resources and organizational development activities. This role is responsible for HR administrative functions, including maintaining employee files, drafting employment-related letters, supporting attendance management, and assisting with fact-finding and disciplinary processes. The People and Culture Coordinator will also contribute to organizational development and training initiatives. The role supports both unionized and non-unionized staff at Kensington Health Centre and requires a high degree of confidentiality, attention to detail, and professionalism.

Salary Range: $50,000 - $60,000

Responsibilities
  • Employee and Labour Relations: Attend fact-finding meetings and prepare documentation to support investigations. Draft disciplinary letters and ensure appropriate documentation is maintained for employee files. Support grievance and disciplinary responses by gathering documentation, preparing case summaries, and liaising with the Manager, People & Culture. Track grievance activity and outcomes for reporting and trend analysis. Support positive labour-management relations by assisting in communication with union representatives and attending meetings as required.
  • Organizational Development & Training: Assist with HR projects, initiatives, and process improvements to enhance efficiency and employee experience. Support the coordination of training projects and staff development activities. Contribute to communication efforts that promote learning and engagement across the organization. Coordinate and provide administrative support for the job evaluation process, including collecting role information, preparing documentation, and maintaining evaluation records. Assist in managing the performance review process, including compiling reports, tracking completion rates, and ensuring accurate data entry into HR systems.
  • Administration: Maintain accurate and up-to-date employee records and filing systems. Draft employment letters, status change letters and other employment-related correspondence. Ensure confidentiality of employee records and sensitive HR information. Ensure all HR documentation is completed, signed, and filed appropriately in employee records. Provide general HR administrative support as required, including scheduling meetings, preparing minutes, and responding to staff inquiries. Perform other administrative and HR-related duties as assigned.
  • Workforce Management: Support attendance management processes by tracking absences, maintaining related documentation, and preparing reports for review. Support attendance management processes, including recordkeeping and reporting. Complete Exit Interviews. Provide timely updates to the Manager, People & Culture on attendance and workforce issues. Assist with HR-related communications to staff and managers. Assist in the tracking and management of leave of absence requests. Work in compliance with occupational health and safety practices, policies, and legislation.
Required Knowledge and Experience
  • Minimum of 3 years of human resources or administrative experience, preferably in healthcare or a unionized environment.
  • Knowledge of HR practices, such as attendance management, and disciplinary procedures.
  • Strong organizational and interpersonal skills with keen attention to detail.
  • Excellent communication skills, both verbal and written.
  • Demonstrated discretion in handling sensitive and confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with SSC and UKG is an asset.
Required Professional Designation/Certificate

Post-secondary diploma in Human Resources, Business Administration, or a related field.
