Position Overview:
The Operations Administrator will work with the RM Building Solutions division in Nisku, AB. The primary responsibilities for this role include processing purchase orders, entering and creating invoices, and general office maintenance to ensure operations can run seamlessly. Ideally, the Office Administrator will have a strong attention to detail, strong organization skills, and excellent customer service skills.
Responsibilities:
- Enter purchase order details and drawings into tracking software.
- Communicate with superintendents regarding purchase order discrepancies, seeking clarification and making adjustments as required.
- Request purchase order variances from customers regarding changes or deviations from the initial PO.
- Compile job documents such as FLHAs, completion reports, supplier invoices, POs, etc.
- Mail, email, or hand deliver invoices to clients depending on client preferences.
- Follow up with clients regarding outstanding payments.
- Research, source, and purchase welding-related parts, tools, consumables, and supplies (e.g., MIG wire, TIG rods, grinding wheels, nozzles, gloves, gas cylinders).
- Work closely with the welding shop team to anticipate needs and maintain optimal inventory levels.
- Manage and track purchase orders, deliveries, and invoices in coordination with accounting and warehouse staff.
- Establish and maintain relationships with vendors and suppliers to negotiate pricing, terms, and delivery schedules.
- Ensure all purchased items meet quality standards and job specifications.
- Keep accurate records of usage, costs, and supplier performance.
- Monitor market trends and make recommendations for cost-saving alternatives or vendor changes.
- Assist with equipment purchases and rentals (e.g., welders, torches, PPE, hoists).
- Ensure timely restocking of high-turnover consumables to avoid production delays.
- Conduct periodic audits of shop inventory and support forecasting efforts.
- Greet walk-in customers, vendors, and office guests.
- Provide general administrative support to field staff as needed.
- Maintain a safe, clean, and tidy working environment.
- Order office supplies and coordinate office maintenance when required.
- Support the General Manager with customer relations, preparing reports, and other general administration.
- Champion the safety culture at RM Building Solutions by following safe working practices and procedures, attending safety meetings, wearing PPE, completing weekly HSE sign-offs, etc.
- Other duties as assigned.
Qualifications:
- 2+ year of previous administrative experience with a supply chain focus.
- Experience with purchase order or inventory management software (e.g., QuickBooks, SAP, or other ERP systems) is a plus
- Strong understanding of invoicing and billing processes.
- Degree, diploma, or certificate in accounting, business administration, supply chain, or a related discipline is an asset.
- Valid driver’s license, clean drivers abstract, and reliable transportation to work.
- Prior experience working in the construction, manufacturing, or welding industry is an asset.

Hours of Work
Typical hours of work for this position are 7am – 3pm, Monday through Friday. Overtime may be required from time to time, based on the needs of the business.
This position primarily works in an office setting. However, this position will frequently interact with shop employees and may be required to work/visit the welding shop and client sites from time to time. While working out of the office, PPE is likely required for safety sensitive settings. The company will provide PPE with the exception of CSA steel toed boots.
Drug and alcohol testing may be required prior to accessing some client sites.
