Job description

We are MaRayTech Consulting Ltd, an IT services company specialized in the financial sector, mainly serving banks, FinTechs, and insurance companies.

We want to hire someone who is passionate about their work, enjoys working in a close-knit team, is highly organized, enthusiastic, and has a great "can-do" attitude.

About the role

Our office managers assist with administrative tasks such as writing letters, managing finances, organizing appointments, and overseeing filing systems. Your daily tasks will include:

  1. Managing the office's daily operations to ensure smooth and effective functioning.
  2. Overseeing and supporting a small team, providing direction and leadership to ensure excellent performance and service standards.
  3. Managing client records and ensuring compliance with legal requirements in the financial services industry.
  4. Organizing office tasks, including correspondence, scheduling, and meeting administration.
  5. Ensuring company policies and procedures are implemented effectively.
  6. Responding to customer inquiries, resolving issues, and escalating as needed to maintain high customer satisfaction.
  7. Assisting with the creation and administration of audits, internal reports, and other key documents.
  8. Supporting Financial Advisers and other staff with administrative duties, ensuring priorities and deadlines are met.
  9. Enhancing office performance by managing resources efficiently and implementing continuous improvements.
  10. Collaborating with other teams and departments to ensure smooth operations and improve client experience.
  11. Maintaining office supplies, tools, and services to ensure a well-stocked and organized workspace.
Your mission

The responsibilities of the office manager include having sound financial judgment, outstanding communication skills, personal credibility, and dedication to creating and maintaining efficient office procedures suitable for a hybrid workplace.

You should be proficient in using complex databases, Microsoft Office, and able to meet deadlines. A commitment to the principles of the trade union movement is preferred but not required.
